Position Overview:

The Sr. Coordinator provides comprehensive administrative, editorial, event, presentation and corporate support to three Vice Presidents (VPs), acting as critical liaison between the VPs, departments, vendors, customers and colleagues. This position is a critical player for the VPs, working to quickly assess what’s coming next, proactively facilitating workflow and implementation, always ensuring the VPs are on track and helping their teams to function at their best.

Key responsibilities will include, but are not limited to:

 

  • Responsible for complete organization of the VPs’ offices. Duties include scheduling meetings and efficiently maintaining schedules, fielding inquiries directed to the VPs, and ensuring timely responses to queries, projects, issues and contractual agreements requiring VPs’ approvals.
  • Coordinate meetings both in-house and off-site for the VPs, including preparing and assembling all related meeting materials, hospitality tasks and making travel arrangements as needed.
  • Responsible for scheduling and coordination of department meetings, events providing opportunities for professional development and team building, and other large conferences and team events.
  • Responsible for preparing expense reports for the VPs.
  • Design, create, communicate and maintain internal business processes including procurement processes and legal review processes.
  • Other duties as assigned

 

Requirements for success:

 

  • 5+ years of administrative experience, including broad project coordination
  • Bachelor’s degree in a related field or equivalent combination of education and experience
  • Track record of providing proactive, comprehensive, detail-oriented support to executive and senior management
  • Discretion in handling confidential corporate and personnel matters
  • Background supporting internal business processes
  • Skill in crafting clear, engaging communications for broad audiences
  • Success managing schedules for extremely busy executives
  • Excellent computer application and presentation development knowledge and skills, including Outlook, MS Word, PowerPoint, and Excel
  • Superb written and oral communication, and organizational skills
  • An acutely detail-oriented, proactive problem solver with good judgment
  • A professional who expects and maintains a high quality of work standards
  • A team player with excellent interpersonal skills
  • Ability to solve problems using critical thinking skills
  • Ability to accomplish multiple tasks and to prioritize work, and be comfortable with a fast-paced, changing environment 
  • Excellent stress and crisis management skills
  • Ability to adapt to an ever-changing and dynamic environment
  • Excellent sense of judgment, with the ability to make informed decisions under pressure and meet deadlines
  • Ability to work with little direction, and to work well with others
  • Self-starting with tremendous initiative and solid follow-through skills
  • Experience with Monday.com preferred
  • Experience in a technology environment strongly preferred
  • Graphic design experience preferred

 

The base pay range for this position at the beginning of employment is expected to be between $28.84/hour to $31.25/hour. The actual base pay offered may vary depending on multiple individualized factors, including but not limited to job-related knowledge, skills, and experience. The total compensation package for this position will also include other elements for eligible employees, including: (i) eligibility for discretionary bonuses; (ii) various insurance options, including medical, dental, vision, hearing, life, accidental death and dismemberment, short-term and long-term disability, and business travel accident insurance; (iii) identity protection program; (iv) employee assistance program; (v) financial and retirement savings benefits including the PBS Retirement Plan 403(b); (vi) paid time off (17 days per year), paid sick time benefits (12 days per year), paid parental leave (60 days / 12 weeks ), and paid holidays (12 days per year).
