We’re looking for a detail-oriented and organized Data Entry & Documentation Specialist to join our team and provide important data, documentation, scheduling, and administrative support across multiple departments.

This is an excellent opportunity for someone who enjoys working with information, keeping records organized, using computer systems, and making sure details are accurate. You’ll work with internal systems and Microsoft Excel to enter, organize, review, and maintain information while supporting laboratory, testing, and operations teams.

Previous data-entry experience is helpful, but candidates with strong computer skills, attention to detail, and a willingness to learn are encouraged to apply. Training and support will be provided for company-specific systems and processes.

Key Responsibilities

1. Data Entry & System Management

  • Accurately enter test details, task information, and scheduling data into internal systems.
  • Transfer, organize, and maintain information across multiple software platforms and databases.
  • Set up and maintain evaluation reports used to record test and service results.
  • Review information for accuracy, completeness, consistency, and proper formatting.
  • Identify and help resolve discrepancies between systems and source documentation.
  • Report system errors, data issues, and other concerns to the appropriate team members.

2. Documentation & Records Management

  • Generate electronic and printed test documentation for operations and internal teams.
  • Organize and maintain electronic and physical records.
  • Ensure documentation is complete, accurate, organized, and easy to locate.
  • Maintain records according to company procedures and documentation standards.
  • Review documents for missing, inconsistent, or incorrect information and coordinate corrections when needed.

3. Scheduling & Follow-Up

  • Enter and maintain task and scheduling information in internal systems.
  • Monitor open items, assignments, and outstanding tasks.
  • Follow up with team members to help ensure tasks and documentation are completed on time.
  • Track outstanding issues and communicate delays or concerns.
  • Assist with coordinating information between laboratory, testing, operations, and other teams.

4. Data Quality & Problem Resolution

  • Identify missing information, data-entry errors, discrepancies, and inconsistencies.
  • Assist with investigating and correcting data issues.
  • Document software problems, system errors, and data-related concerns.
  • Clearly communicate issues to the appropriate team members.
  • Verify that corrections have been completed accurately.
  • Maintain a high level of accuracy when handling repetitive data-entry and documentation tasks.

5. Administrative & Team Support

  • Provide data-entry and administrative assistance to laboratory, testing, operations, and other internal teams.
  • Assist with documentation, recordkeeping, and administrative projects.
  • Keep electronic and physical files organized.
  • Follow established company procedures and workflows.
  • Handle company information professionally and confidentially.
  • Perform additional data-entry, documentation, and administrative duties as assigned.

Required Qualifications

We’re looking for someone who is dependable, organized, and comfortable working with computers and detailed information.

  • High school diploma or GED.
  • Basic to intermediate computer skills.
  • Ability to use Microsoft Excel and other business software.
  • Strong attention to detail and commitment to accuracy.
  • Good written and verbal English communication skills.
  • Strong organizational and time-management skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Ability to work independently and as part of a team.
  • Comfortable performing repetitive tasks while maintaining accuracy.
  • Strong follow-through and ability to complete assigned tasks.
