We are looking for a Case Specialist to join our team. This is a full-time work from home position, and as a Case Specialist, you’ll be a part of the case management team and will report directly to our Director of Case Management. You will play a key role in providing guidance and a high level of customer service to intended parents as they progress through their path to parenthood as well as to egg donors and surrogates who are helping to make their dreams come true. You’ll act as a strategic partner to your assigned clientele ensuring they are safely navigating third party reproduction. 

What You’ll do:

  • Develops meaningful relationships and trust with intended parents, surrogates, egg donors, clinics, attorneys, and other stakeholders. 
  • Anticipates needs, identifies potential roadblocks early, and proactively develops solutions. 
  • Maintains exceptional attention to detail while managing multiple deadlines, tasks, and case milestones, leveraging strong verbal and written communication skills and a genuine appreciation for human connection to deliver a high-quality experience.
  • Communicates with warmth, professionalism, confidence, and emotional intelligence, remaining calm and effective even during difficult, high-stress, or sensitive conversations.
  • Collaborates effectively across departments as a proactive, innovative team player who thinks outside the box, asks thoughtful questions, and helps create a seamless client experience.
  • Embraces accountability and takes ownership of the progress and success of assigned cases. 
  • Learns new technology quickly and utilizes systems to maintain accurate documentation and workflow management.
  • Effectively manages multiple active cases while remaining adaptable and responsive to changing priorities and evolving client needs.
  • Be a creative problem solver who pays strong attention to detail while providing a gold star level of customer service.
  • Complete regular audits of cases to ensure there is forward progress while maintaining data integrity.
  • Assist with additional tasks/projects as determined by management.
  • Be empathetic, organized, curious, and innovative. 
  • Be willing to travel as needed  

 What You’ll Need to Succeed:

  • Possesses strong communication, partnership, and problem-solving skills, with a proactive approach, keen attention to detail, and the ability to anticipate needs while advancing cases efficiently and effectively.
  • Surrogacy, egg donation, fertility, or reproductive medicine preferred but not required.
  • Case management or client services preferred but not required.
  • High-touch concierge or customer experience roles preferred but not required.
  • Proficient in Microsoft Office and Outlook. Proficiency with Salesforce a plus.
  • Ability to maintain confidentiality.
  • Ability to interact with a broad set of clients from different cultures and regions.
  • Possesses a positive and flexible attitude and willingness to adapt. 
  • Willingness to adjust weekly hours on an as needed basis.
  • Any other job requirements that may be requested.
