Internal Air & Groups Air Specialist

The Internal Air & Groups Air Specialist is responsible for managing and coordinating internal air arrangements for Tauck tours requiring on-tour flight components, while also supporting the Groups Department with complex group air bookings beyond standard Volare capabilities. This role serves as a key liaison between Air Operations, Groups, Tour Directors, airline partners, and internal operational teams to ensure accurate contracting, ticketing, communication, and execution of all internal air services.

This position plays a critical role in securing airline contracts, maintaining group air space within the GDS, monitoring schedule changes, issuing group tickets, and ensuring Tour Directors have all required flight and ticketing information prior to tour departure. The role also supports guests and travel advisors within group bookings requiring customized air arrangements. The ideal candidate is highly detail-oriented, organized, collaborative, and thrives in a fast-paced environment that requires strong communication and cross-departmental partnership.

KEY RESPONSIBILITIES:

• Coordinate and manage airline contracting for Tauck tours requiring internal flight components.
• Partner closely with Operations teams to ensure all required air contracts and flight space are secured for applicable tours.
• Maintain and manage airline group space within the GDS, including schedule monitoring, updates, and modifications as needed.
• Build and maintain passenger records and issue group and internal air tickets accurately and efficiently.
• Monitor airline schedule changes and proactively communicate updates to appropriate internal teams.
• Work directly with Tour Directors to ensure they receive accurate and timely flight, ticketing, and operational information prior to tour departure.
• Collaborate with the Groups Department to secure customized air arrangements for group bookings beyond standard Volare capabilities.
• Contact guests and/or travel advisors directly regarding specialized group air arrangements when necessary.
• Gain and maintain working knowledge of Tauck-specific airline contracts and utilize this knowledge when selecting flights and supporting guest or travel advisor conversations.
• Assist with departmental operational support during lower internal air volume periods, including managing shared air email inboxes and maintenance queues.
• Ensure accuracy, organization, and compliance across all booking, ticketing, and operational processes.
• Foster strong working relationships across departments, including Air, Operations, Groups, and Guest Services, to support a seamless guest experience.
   

SKILLS & QUALIFICATIONS:

• Internal candidates must have a minimum of 1 year of experience on the Reservations/Start-to-Finish team and be in good standing.
• External candidates must have a minimum of 2 years of experience working with an air reservation system.
• Experience with Galileo or a similar Global Distribution System (GDS) preferred.
• Strong attention to detail with excellent organizational and time management skills.
• Collaborative team player with strong verbal and written communication abilities.
• Ability to manage multiple priorities, schedule changes, ticketing updates, and operational tasks in a fast-paced environment.
• Professional demeanor with a commitment to delivering high standards of accuracy, performance, and guest service.
