Overview
Project Management serves as the operational delivery leader for the account. The team partnersÂ
with Client Services and business units to translate client priorities into clear, executable plansÂ
with defined scope, timelines, resources, and accountability. PM owns delivery governance,Â
project planning, forecasting, risk management, resource coordination, operational financialÂ
stewardship, and execution oversight. The department ensures work is delivered consistently,Â
efficiently, and predictably while providing visibility into portfolio health and enabling scalableÂ
business growth.
Role Overview
The Project Manager is responsible for leading day-to-day project operations and coordinatingÂ
cross-functional activities to ensure work is delivered on time, on scope, and on budget whileÂ
supporting agreed-upon client objectives and priorities established in partnership with ClientÂ
Services. This role applies core project management principles to translate project goals into clear plans,Â
manage task execution and dependencies, and keep stakeholders aligned through consistentÂ
communication and status reporting. The Project Manager maintains accurate projectÂ
documentation, proactively identifies risks and issues, and supports problem-solving to keepÂ
delivery moving efficiently and predictably.
Key Responsibilities
 Project Planning and SchedulingÂ
ï‚· Assist in defining operational project financial management: estimate development, burn tracking, scope, project goals, and deliverablesÂ
ï‚· Develop detailed project schedules and work plansÂ
ï‚· Allocate resources and monitor task completionÂ

 Task ManagementÂ
ï‚· Manage day-to-day operational tasks and ensure they are completed on timeÂ
ï‚· Track and manage project progress, identifying and resolving issues as they ariseÂ
ï‚· Coordinate with team members to ensure alignment with project goals and timelines
Communication and Coordination
ï‚· Act as the primary operational point of contact for project timelines, deliverables,Â
dependencies, risks, and workflow coordinationÂ
ï‚· Facilitate regular status meetings and provide updates on project progressÂ
ï‚· Ensure clear and effective communication within the project teamÂ
Risk and Issue Management
ï‚· Identify and assess risks to project successÂ
ï‚· Develop risk mitigation strategies with manager and handle any issues that arise duringÂ
the project lifecycleÂ
Documentation and ReportingÂ
ï‚· Maintain and organize project documentation, including project plans, schedules, budgets, and status reportsÂ
ï‚· Prepare and deliver regular progress reports to stakeholders
Quality AssuranceÂ
ï‚· Monitor project deliverables to ensure they meet quality standardsÂ
ï‚· Coordinate reviews and approvals for project deliverablesÂ
Stakeholder Management
ï‚· Manage relationships with internal and external stakeholders, ensuring their expectations are metÂ
ï‚· Address stakeholder concerns promptly and professionally What Success Looks Like in This RoleÂ
ï‚· Ensure project plans, finances and schedules/timelines are updatedÂ
ï‚· Conduct daily or weekly check-ins with team members to ensure task status/completionÂ
ï‚· Prepare and circulate meeting agendas, minutes, and action itemsÂ
ï‚· Track and update project status in project management tools (e.g. Wrike, Ziflow, etc.)Â
ï‚· Maintain and organize all project-related documentsÂ
ï‚· Support in preparing reports for project stakeholdersÂ
ï‚· Lean in to provide support to fellow project management teams when and where neededÂ

Required Knowledge and Skill SetÂ
Basic Knowledge of Project Management Tools and Techniques
ï‚· Familiarity with project management software (e.g., Microsoft Project, Asana, Trello)Â
ï‚· Understanding of key project management methodologies (e.g., Waterfall, Srum, Agile)Â
Fundamental Knowledge of Project Management ProcessesÂ
ï‚· Demonstrated expertise in media execution across channels, with a strong understanding of media planning, activation, campaign workflows, channel requirements, and best practices across digital and traditional mediaÂ
ï‚· Awareness of project lifecycle stages (initiation, planning, execution, monitoring, and closure)Â
ï‚· Basic understanding of scope, schedule, cost, quality, risk, and resource management principlesÂ
Communication SkillsÂ
ï‚· Strong written and verbal communication skillsÂ
ï‚· Ability to facilitate meetings, provide clear updates, and maintain project documentationÂ

ï‚· Minimum of 2-3 years in a Project Management role, experience with pharmaceutical clients if preferredÂ
ï‚· Basic knowledge of project management methodologies and toolsÂ
ï‚· Basic knowledge of digital media best practicesÂ
ï‚· Basic knowledge of various project types including digital media, online advertising, digital analytics, conferences, print advertising, broadcast media, and campaign reporting/analysis.Â
ï‚· A team player with strong time-management skills, the ability to motivate others to deliver excellence, and poise and focus under pressure.  Â
ï‚· Proficient in Microsoft Office suite and Adobe Acrobat.Â
ï‚· Experience in the media industry, preferably at a media agency.Â
ï‚· Experience with project management software examples include Jira, Wrike, Asana.
