Job Description

The Purchasing Coordinator plays a key role in supporting the buying team by ensuring purchase orders, product information, vendor communication, and inventory-related processes are accurate, organized, and completed on time. This position serves as an important connection between Buyers, vendors, internal departments, and stores, helping keep product moving efficiently from initial order through delivery.

Responsibilities

  • Create, maintain, and update purchase orders, ensuring accuracy of quantities, costs, delivery dates, and product information
  • Partner with buyers to supports day-to-day purchasing activities and seasonal buying initiatives
  • Communicate with vendors regarding purchase orders, order confirmations, changes, cancellations, delivery timelines and outstanding issues
  • Monitor open purchase orders and proactively identify late shipments, discrepancies, or potential issues
  • Coordinate with operations and buying and other internal teams to resolve purchasing and receiving issues
  • Track important deadlines and ensure orders and vendor information are completed according to established timelines
  • Provide additional administrative and operational support to the buying team as needed
  • Build strong, professional relationships with vendor partners and internal teams

Ability to work in a fast-paced, high-volume environment, Ability to work independently and collaboratively within a team environment, Advanced Microsoft Excel Skills, Attention to detail and documentation accuracy, Excellent verbal and written communication skills, Strong analytical and problem-solving skills, Strong negotiation skills, Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously

Qualifications

  • 0-1 year of experience in retail, purchasing, merchandising, or inventory role
  • Proficiency in Microsoft office, particularly excel
  • Bachelor’s degree in a similar field required

Physical Requirements

  • Ability to operate a computer, keyboard, mouse, and other standard office equipment
  • Able to clearly view and read information on a computer screen
  • Occasionally lift or move items up to 15 pounds
