Project Document Management Analyst

Contribute to impactful mining projects in a collaborative global environment where document management, stakeholder coordination, and continuous improvement drive project success. Work with SharePoint, InEight, and cross-functional teams in a hybrid Montreal-based role supporting projects from planning through delivery.

Responsibilities:

• Perform quality control and verification of project deliverables from contractors and engineering service providers (ESPs).
• Provide training and technical support to internal and external stakeholders.
• Participate in coordination meetings and follow up on project communications.
• Prepare reports and perform data cleansing in collaboration with the PDM Lead.
• Follow up on pending project deliverables and RFI documentation.
• Use SharePoint, InEight, and Microsoft Office to support document control activities.
• Onboard, coach, and support the ongoing development of Document Controllers (DCs).
• Train Document Controllers (DCs) on internal PDM processes.
• Produce and distribute weekly expediting reports.
• Escalate issues that remain unresolved within 24 hours to the PDM Lead.
• Conduct contractor check-ins every two weeks.
• Review CDS with each contractor on a monthly basis.
• Maintain the distribution matrix on a monthly basis.
• Attend project meetings according to the project cadence and engage regularly with project peers.
• Deliver ongoing user training on InEight and SharePoint.
• Support project setup and handover planning requirements as defined by the PDM Lead.
• Demonstrate timely stakeholder responsiveness.
• Participate in continuous improvement initiatives and support their implementation.
• Streamline InEight and SharePoint access requests.

What you will need to succeed:

• 5 years of experience in document control on large projects.
• Experience supporting engineering and construction projects.
• Experience managing small to medium-sized document control teams.
• Experience implementing and managing document control systems and processes.
• Experience with project setup, contract close-out, project handover, and close-out activities.
• Experience managing suppliers, contractors, and vendor teams.
• Experience managing document control throughout the project lifecycle, from early studies through handover and close-out, is considered an asset.
• Experience supporting or working on site-based projects is considered an asset.
• Experience with InEight Document and SharePoint is considered an asset.
• Proficiency with SharePoint, InEight, and Microsoft Office.
• Excellent collaboration, stakeholder engagement, and communication skills.
• Ability to oversee, manage, and report on team workloads.
• Ability to work effectively in a fast-paced environment.
• Bilingual (English and French) to collaborate with global project teams, provide training and support to stakeholders, and coordinate project documentation in both languages.
• Proficiency in a third language is considered an asset.
