Responsibilities

**This position is located in St. George, LA**

 

This position serves as key office personnel who interacts daily with the public, city employees, inspectors, plans examiners and the building official. Customer service, organization, detail oriented and multitasking are a must.

 

  • Interfacing with all customers to service their building department related needs.
  • Issuing and/or tracking permits through the permitting process, beginning with application acceptance, plan review, inspections and permit closure.
  • Establishing and maintaining systems to ensure that all files, letters, reference manuals, field inspection reports, permit files, blueprints, drawings, and other data or material is maintained in an organized fashion.
  • Working with plan examiners and inspectors throughout the company to develop and ensure consistent processes.
  • Assisting with public record requests.
  • Collecting permit fees at the end of the day; filling out daily cash collection sheets; dropping collected fees in safe.
  • Performing a variety of skilled secretarial functions; providing administrative support to departmental personnel; preparing correspondence, reports, and other documentation; updates, scans, and maintains the Department’s records and files.
  • This position may at times require working additional hours, over a weekend, or a holiday.  The incumbent must be available to work these extra hours with little to no advanced notice.
  • Other duties as appropriate for the role and as assigned by the Program Director.

Qualifications

Qualifications

  • High School Diploma or GED required
    • Bachelor’s degree in relevant field is desired.
  • Minimum 3 years of experience performing similar duties/tasks.
  • Minimum typing speed of 50 WPM.

  • Possess the ability to positively interact with the other staff members, the general public, contractors, governmental entities, and other clientele.
  • Good time management, organization, telephone communication skills, attention to detail, and people skills.
  • Must be able to successfully perform multi-task operations in conjunction with frequent interruptions.
  • Perform a variety of duties requiring use of critical thinking, independent judgment, and technical knowledge.
  • Self-motivated and takes initiative.
  • Excellent Microsoft Office Skills and permitting software experience are a must.

Physical Demands

  • Sitting, sometimes for extended periods, while working at a computer  
  • Occasional standing and walking across the office or to other locations  
  • Bending, stooping, reaching, kneeling, and occasional twisting are normal parts of retrieving or organizing documents  
  • Lifting and carrying files or reports weighing from approximately 5 to 20 pounds occasionally 
  • Good vision (including close focus, distance vision, peripheral), as well as visual acuity for reading detailed plans, inspections, maps, or blueprints  
  • Must have clear hearing and speech for customer interactions by phone and in person  
  • Some repetitive finger and hand motion from computer work, scanning, and using office equipment  
  • Public-facing role: interacting with contractors, inspectors, and members of the public — may involve navigating occasionally stressful customer situations
