Primary Function: Provides general administrative and processing support to the Financial Aid Office, including document processing, mail handling, records organization and other routine departmental activities. Assists with maintaining accurate and timely processing of information in support of Financial Aid operations and department objectives. Performs assigned tasks in accordance with established procedures while maintaining appropriate confidentiality and attention to detail. 

 

Essential Functions:

 

  • Reviews, sorts, prepares and routes financial aid documents and correspondence according to established procedures. 
  • Performs routine document processing and data entry activities using established guidelines and departmental systems.
  • Reviews submitted documents for basic completeness and routes incomplete, unclear, or exception-based items to appropriate Financial Aid staff for further review.
  • Assists with the organization and maintenance of electronic and physical Financial Aid records.
  • Processes incoming and outgoing departmental mail and assists with routine correspondence and distribution activities.
  • Performs routine administrative tasks in support of Financial Aid processing, including filing, scanning, copying, data entry, and record organization.
  • Assists with established departmental work queues, reports, or processing activities that do not require interpretation of financial aid regulations or determination of student eligibility.
  • Maintains confidentiality of student information and performs assigned responsibilities in accordance with FERPA and established University and departmental procedures.
  • Escalates questions, discrepancies, or situations requiring financial aid knowledge or judgment to the appropriate Financial Aid staff.

Marginal Duties and Responsibilities:

  • Participates in applicable departmental meetings, training, and related activities.
  • Assists with periodic departmental projects, events, or high-volume processing activities.
  • Provides general office coverage and administrative assistance as needed.
  • Performs other duties as assigned consistent with the scope and responsibilities of the position.

Qualifications/Skills:

  • High school diploma or equivalent required. 
  • Must meet eligibility requirements for participation in the Federal Work-Study program.
  • Basic computer and data entry skills with the ability to learn and use departmental systems. 
  • Ability to follow written and verbal instructions and established departmental procedures. 
  • Strong attention to detail with the ability to complete routine tasks timely and accurately. 
  • Basic organizational and time management skills. 
  • Ability to communicate professionally and effectively. 
  • Ability to appropriately handle confidential and sensitive information. 
  • Able to work independently on assigned tasks following appropriate training. 


Working Conditions:

  • Frequent use of a PC. Works in a normal office environment. 

Note:

  • This is a Federal Work Study (FWS) student employee position that is open only to currently enrolled Bellevue University students who have Federal Work Study as part of their financial aid package. Students must have completed a FAFSA and accepted their FWS offer before they can apply for a FWS position.
