Do you love being the person who keeps everything organized and moving forward? Are you comfortable switching between computer-based coordination, organizing inventory, preparing materials, helping customers, and occasionally supporting the team in the field?
This is not a traditional desk-based Project Coordinator position. It is a hands-on role that combines administrative coordination, inventory and materials management, customer service, and field support. Some days will be spent coordinating permits, preparing project documentation, scheduling appointments, and communicating with customers. Other days may involve organizing parts, receiving and moving materials, staging equipment for installations, completing inventory counts, or helping installers and technicians with physical tasks.
You do not need to be an HVAC expert when you start, but you will be expected to develop a working knowledge of basic HVAC equipment, thermostats, and common service issues. Over time, you should be comfortable answering straightforward customer questions, gathering useful information, and recognizing when a question needs to be passed to a technician.
This role requires strong organizational skills, a proactive mindset, mechanical curiosity, and a willingness to jump in wherever help is needed. You will be a connection point between our customers, installers, technicians, and office staff, helping ensure projects are properly planned, prepared, and completed.

Coordinate permits, inspections, schedules, and project documentation
Prepare work packets and ensure projects are ready for installation
Receive, organize, track, and maintain inventory, parts, materials, and equipment
Order materials and help ensure field teams have what they need for scheduled projects
Stage and move parts, equipment, and materials in preparation for installations
Assist installers and technicians with physical tasks or field support when needed
Schedule service appointments and communicate with customers about next steps
Prepare quotes, invoices, and service documentation
Administer our Home Performance Program
Maintain accurate customer, project, and equipment records
Develop a working knowledge of basic HVAC equipment, thermostats, and connected systems
Answer straightforward customer questions and gather information to help technicians troubleshoot issues
Work closely with installers, technicians, and office staff to keep projects moving efficiently
Help maintain an organized, safe, and functional office, warehouse, and inventory area
Pay: $25-$27 hourly
Requirements

- Residential construction, HVAC, plumbing, electrical, or home services experience
- Experience with permitting or inspections
- Inventory or warehouse coordination experience
- Experience using Sera, JobTread, or similar software
- Mechanical aptitude and an interest in learning HVAC systems
- Experience preparing quotes or invoices
- BPI Certification
- Spanish language skills
