ECS Everforth is seeking a highly organized and analytical Management Analyst (Action Officer) to provide operational, administrative, and project coordination support to federal leadership within the Extramural Division supporting the National Institute of Health.

This role will support division leadership through assignment tracking, workflow coordination, stakeholder engagement, briefing preparation, operational analysis, meeting coordination, and administrative process improvement initiatives. The ideal candidate is proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced federal environment.

All support provided is advisory and administrative in nature and does not include inherently governmental functions. Federal staff retain all final decision-making authority.

Key Responsibilities

Assignment & Workflow Coordination

路 Maintain and manage tracking systems for branch assignments, delegated actions, milestones, and deliverables.

路 Develop status reports and provide updates to federal leadership.

路 Coordinate follow-up activities to ensure timely completion of tasks and action items.

Program & Operational Support

路 Assist leadership in assessing incoming assignments and preparing analytical summaries to support prioritization.

路 Support operational planning and workload sequencing activities.

路 Identify workflow bottlenecks and recommend process improvements.

Risk & Process Management

路 Assist with risk assessments and contingency planning activities.

路 Review and recommend improvements to standard operating procedures (SOPs).

路 Support quality assurance and operational efficiency initiatives.

Stakeholder & Executive Coordination

路 Serve as a coordination liaison for internal and external stakeholders.

路 Draft meeting summaries, action trackers, and executive communications.

路 Support leadership engagement activities and branch communications.

Meeting & Event Support

路 Coordinate meetings, workshops, and leadership engagements.

路 Prepare agendas, logistics, attendee coordination, and follow-up documentation.

Data Analysis & Reporting

路 Collect and analyze operational and performance data.

路 Prepare dashboards, analytical reports, and executive summaries.

路 Assist leadership with reporting metrics and operational visibility.

Policy & Compliance Support

路 Compile policy reference materials and supporting documentation.

路 Support policy review and communication efforts.

Workforce & Administrative Support

路 Assist with onboarding and training coordination.

路 Maintain records, correspondence, document repositories, and version control.

路 Support records management and administrative documentation activities.

Financial Support

路 Assist with financial tracking summaries and budget support activities.

Executive Briefings & Correspondence

路 Draft presentations, briefing materials, memoranda, and correspondence for federal leadership review.

路 Coordinate review and approval workflows for executive materials.

Special Projects

路 Support short-term operational initiatives and special assignments as directed by branch leadership.

Qualifications

Education

  • Bachelor鈥檚 degree in Business Administration, Public Administration, Management, Communications, or related field.
  • High School Diploma plus three (3) years of specialized experience may substitute for a bachelor鈥檚 degree.

Experience

  • Minimum three (3) years of related professional experience supporting federal operations, administrative management, project coordination, or executive support environments.

Clearance / Requirements

  • Ability to obtain and maintain NIH badge/access credentials.
  • Must be eligible to work in a federal contractor support environment.

Required Skills

  • Strong analytical, organizational, and time management capabilities.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines independently.
  • Experience supporting executive-level stakeholders.
