Catholic Charities Boston maintains records for adoptions facilitated by the agency throughout the last 70+ years. Members of the adoption constellation (adoptees, birth parents, adoptive parents, biological family members) can request certain services from the agency regarding the records associated with their adoption cases. Post-Adoption Services oversees adoption records and facilitates the delivery of these services.  

The Post-Adoption Services Coordinator is responsible for overseeing adoption records and facilitating services requested by members of the adoption constellation. This includes receiving and processing all applications for Post-Adoption Services and communicating with applicants, while also complying with all federal and state confidentiality laws. 

Flexible hours - on average 7.5 hours per week which can be scheduled based on need and convenience 

RESPONSIBILITIES

  • Maintain consistent and professional communication with all members of the adoption constellation  
  • Maintain professional boundaries and confidentiality  
  • Respond to all phone and email inquiries in a timely manner 
  • Maintain organized records of all applications received by Post-Adoption Services  
  • Track all inquiries and maintain records of communication with applicants and/or other members of the adoption constellation  
  • Retrieve and review adoption case files located at Catholic Charities Boston facilities 
  • Travel between Catholic Charities Boston facilities to locate and retrieve case files as needed 
  • Work is performed primarily in an office environment, both onsite and remotely, with occasional travel to Boston-area sites to access archived records and storage areas that may contain dust.
  • Prepare non-identifying summaries of adoption case files 
  • Facilitate search and reunions for adoptees and birth parents  
  • Comply with all state, federal, and agency adoption policies and confidentiality laws  
  • Update department policy documents as needed  
  • Monitor all channels of communication including but not limited to monitoring emails, phone calls and incoming mail while track all requests and applications.
  • Deliver payments associated with application fees to appropriate accounting personnel  
  • Ability to work remotely (with occasional on-site work to retrieve hard-copy files and applications submitted via mail) 

QUALIFICATIONS


  • Bachelor’s degree preferred. Experience may be substituted for degree.  
  • Experience in social work or social services preferred  
  • Strong writing skills (writing sample required with application)  
  • Ability to work independently 
  • Strong decision-making and communication skills  
  • Ability to handle confidential documents and information with respect  
  • Strong research skills and familiarity with online search engines/online search tools  
  • Proficient in Microsoft office Suite and other technologies required for research
  • The ability to move boxes or files around in storage areas.
  • Strong organizational skills  
  • Ability to travel between Catholic Charities facilities in and around Boston as needed

The base pay range reflects what Catholic Charities reasonably and in good faith expects to pay for this role at the time of posting and may be modified from time to time. Actual compensation in this range may be determined based on other factors, including but not limited to work experience, education and specialty training.
