Job DetailsJob Location: Brentwood, CA 94513Position Type: Full TimeSalary Range: $65,000.00 - $85,000.00 Salary/yearPosition Overview The Fire Alarm Sales Representative / Project Manager is responsible for managing fire alarm projects from initial lead/estimate through installation and close-out. This combined role supports the Fire Alarm Division Manager by handling estimating, project coordination, scheduling, material planning, documentation, and client communication. The position ensures that all fire alarm projects comply with NFPA 72, local AHJ requirements, and company standards while maintaining profitability and meeting deadlines. This role is the primary liaison between design, installation teams, clients, GCs, and inspectors for all Fire Alarm Division projects. Estimating & Pre-construction • Review plans/specs and prepare accurate proposals with clear scopes and exclusions. • Conduct site surveys to document existing system conditions for TI, retrofit, and ground-up projects. • Review and secure drawings, design criteria, and code requirements for pricing. • Track and maintain an active proposal backlog. • Update and maintain the Fire Alarm bid log weekly, ensuring accuracy of proposal status, follow-ups, and award tracking. • Upon award, create and submit complete job info sheets for project setup (accounting setup, project number assignment, kickoff communication). • Transition awarded projects into the active pipeline and notify the Division Manager. • Manage fire alarm projects from inception to close-out (design, permits, materials, installation, testing). • Serve as primary point of contact for field technicians, design team, clients, and GCs. • Coordinate design schedule and communicate turnaround times with the Fire Alarm designer. • Review/approve PO requests, material lists, and shipping schedules. • Verify accuracy of material lists before delivery and adjust for missing/excess components. • Schedule AHJ inspections (rough, final, functional, acceptance) and communicate results. • Pay for and pick up plans, permits, and inspection documents as required. • Document site observations, manage punch lists, and ensure timely resolution. • Attend job walks, coordination meetings, and on-site inspections as needed. • Track job profitability weekly and report progress to the Division Manager. • Provide weekly billing information and support invoicing accuracy. Administrative & Technical Duties • Draft and review RFIs for design clarifications, code questions, and coordination needs. • Prepare submittals and coordinate plan check comments and revisions. • Maintain accurate electronic project folders including estimates, RFIs, submittals, permits, and inspection reports. • Track historical pricing, labor data, proposal volume, and hit rate metrics for Fire Alarm division analytics. • Support designers by providing field measurements, device counts, photo documentation, and pathway conditions. • Ensure installations comply with NFPA 72, local fire marshal requirements, and manufacturer instructions. • Maintain weekly communication with the Division Manager on project status and high-risk items. QualificationsSkills and Qualifications • NICET I in Fire Alarm or willingness to obtain within required timeframe. • Ability to read fire alarm drawings, risers, device layouts, and wiring diagrams. • Strong knowledge of NFPA 72 and local AHJ processes. • Excellent communication and customer-interaction skills. • High attention to detail; strong organization and documentation ability. • Ability to manage multiple projects and bid deadlines simultaneously. • Comfortable coordinating with field staff and supporting onsite resolution. • Proficient with Outlook, basic spreadsheets, PDF markup, and project management tools.
