III. Job Summary
Oversee the administration and distribution of federal, state, and institutional funding, including grants and scholarships, for Malone University students. Establish and maintain comprehensive financial aid protocols while ensuring strict regulatory compliance across all aid processing. Direct the monitoring of aid accounts and lead the creation and implementation of strategic policies for financial aid programs. Manage the recruitment and supervision of departmental staff, including defining roles, evaluating performance, and fostering a collaborative team environment. Resolve personnel matters and provide necessary resources and training to ensure operational excellence. Coordinate all engagements with internal and external auditors, serving as a primary liaison to the U.S. Department of Education and the Ohio Board of Higher Education.
IV. Essential Duties and Responsibilities
Mission Alignment and Representation
● Reflect, articulate, and promote the mission, vision, and identity of Malone University, both internally and externally, ensuring alignment with university values.
Staff Leadership and Operations
- Train, supervise, and evaluate office staff while providing backup support for all responsibilities.
- Update and maintain the office’s policy manual, website, and Net Price Calculator.
- Prepare and manage the departmental budget, overseeing financial aid operations and systems.
Student Services and Counseling
- Take appointments with students and parents, offering financial counseling and workshops.
- Package financial aid for new and returning students, including adjustments for changes in enrollment, residency, and employment status.
- Process withdrawals, refunds, and aid revisions, ensuring accuracy and compliance.
Compliance and Reporting
- Ensure compliance with Federal Student Aid, NCAA, and institutional policies, maintaining up-to-date knowledge of legislative and regulation changes.
- Monitor Federal Work-Study and satisfactory academic progress for aid eligibility.
- Complete required surveys, reports, audits, and strategic data analyses to support institutional goals and maintain compliance standards.
Scholarship and Institutional Representation
- Manage scholarships and awards, ensuring compliance with donor requirements, academic standards, and athletic regulations.
- Represent the office on institutional committees and at campus events, orientations, and community programs promoting college access.
Strategic Enrollment Support & Financial Aid Analysis
- Partner with Enrollment Management leadership to model financial aid leverage and forecast budget impacts for prospective and returning students.
- Analyze enrollment trends and key performance indicators (KPIs) to provide actionable data that supports institutional enrollment and retention goals.
- Monitor and report on the effectiveness of financial aid programs in meeting net tuition revenue targets and institutional diversity objectives.
Financial Aid Strategy Collaboration
- Collaborate with the Vice President for Enrollment and Marketing to design and execute a strategic student aid program that balances institutional discount goals with maximizing enrollment yield.
- Provide regular consultation to admissions leadership regarding aid policies, packaging strategies, and their impact on the prospective student pipeline.
- Coordinate the integration of financial aid processing with admissions and business office operations to ensure a seamless experience for students and families.
Other Duties

VI. Education and Experience
- Bachelor’s degree
- Minimum of 5 years of financial aid experience
- Proficiency in utilizing various computer programs, such as the Microsoft Office productivity suite (Word, Excel, Access, and PowerPoint)
- Experience with PowerFaids/Jenzabar software operating systems
VII. Working Conditions / Physical Demands
- Work generally conducted in an office environment
- Light lifting on an infrequent basis (up to 25 pounds)
