Position Summary

The Administrative Assistant performs various administrative and office support activities for the office. The position includes answering phones, making copies, word processing, and preparing submission packages.

Responsibilities

  • Answer multi-line telephone system and direct calls accordingly
  • Receive and direct clients and/or visitors
  • Responsible for document and plan reproduction, word processing, filing, and sending faxes
  • Make plan sets
  • Assist in preparation and finalization of client proposals
  • Prepare and coordinate reports and engineering submission packages
  • Maintain office files, documents and environment
  • Schedule meetings and conference calls as required
  • Handle daily distribution of external and internal mail. Ensure outbound mail is processed timely
  • Perform other duties as assigned

Qualifications

  • High School Diploma required; Associate’s Degree or Business School Certificate a plus
  • 2+ years’ experience in an office environment and/or administrative role required

Knowledge, Skills, & Abilities

  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint
  • Well-organized and highly motivated
  • Excellent written, oral communication and customer service skills
  • Must be able to prioritize work and multi-task
  • Self-starter who can work independently and with team members
  • Critical thinking skills and the ability to problem solve are a must
  • Physical Demands of the Job
