Job Description Summary

The Executive Assistant will perform administrative and office support activities for the Chief Operating Officer and Vice President of Operations. Candidates must be polished and professional, show initiative and enthusiasm for administrative work, and have excellent attention to detail. Duties may include fielding telephone calls, receiving and directing visitors, organizing and scheduling calendars, making travel arrangements, planning meetings and events, and creating spreadsheets and presentations.

Job Responsibilities

  • Overseeing a broad variety of administrative tasks including managing an active calendar, arranging travel plans, processing expense reports, providing team support and other duties as needed. Exercising independent judgment and discretion regarding confidential matters. Representing our C-Suite to both internal and external constituents with polish and professionalism. (50% of time)
  • Planning and managing meetings; putting together presentation decks and preparing for large team calls; participating in meetings as requested; preparing and distributing notes. (25% of time)
  • Successfully completing projects under time pressure; meet deadlines consistently and reliably. Assist in managing special projects and in other roles/activities as assigned. (25% of time)

Critical Skills & Experience Requirements

  • High School Diploma or equivalent (Required)
  • College degree preferred (Preferred)
  • 5+ years of experience as an Executive Assistant supporting multiple executive level leaders (Required)
  • Strong work tenure.
  • Expert level written and verbal communication, time management and organizational skills.
  • Ability to anticipate needs with initiative and enthusiasm while prioritizing conflicting deadlines.
  • Must be highly proficient in Outlook, Excel and Power Point.
  • Demonstrated proactive approach to problem-solving with strong decision-making capability.
  • Maintain a flexible, helpful, can-do attitude with energy and enthusiasm.
  • A high level of self-awareness, integrity, emotional maturity and diplomacy are a must.
  • Ability to consistently positive interpersonal interactions with internal teams and external partners.
  • Must be able to work onsite 5 days per week. Monday - Friday
