Summary:Ā 

The Operations Support Specialist serves as a trusted partner, across all areas of responsibility, supporting the Manager of Operations, Senior Vice President of Operations and others on the operations team as needed. The Specialist will help the Operations Team be more productive and effective byĀ maintainingĀ responsibility for key assignments, general project management,Ā planningĀ and support. They will work closely with Operations leadership and cross-functional business areas to support operational efficiency, administrative execution, and data integrity. The ideal candidate is looking to start or broaden their career in business operations, projectĀ administrationĀ and strategy.Ā 

Ā Ā 

Essential Duties and ResponsibilitiesĀ (include but are not limited to):Ā 

Meeting PreparationĀ AndĀ Support  

  • Preparation with stakeholders and materials management,Ā includes:Ā PowerPoint creation, working with key business areas and leaders to build agenda and materials and organizing and sharing deliverablesĀ 

  • Meeting record keeping:Ā ParticipateĀ and support in keeping meetings on time and on topic, taking detailed notes and actions; creating summarized meeting highlights forĀ disseminatingĀ to participants, following up on action itemsĀ 

  • Partner with advisors to support sales origination efforts byĀ identifyingĀ engagement opportunities and helping drive prospect activityĀ 

Event PlanningĀ AndĀ Calendar ManagementĀ 

  • Calendar management as requested for the Operations TeamĀ 

  • Light travel planning and coordinationĀ 

  • EventĀ logisticsĀ research, coordination, and administrative support in service of Operations teamĀ objectives, as directed by Operations leadershipĀ Ā 

  • Provide administrative coordination for internal and client-facing operational webinars and educational events, including RSVP management, attendee tracking, follow-upĀ logistics, and post-event record keeping, as directed by the Operations teamĀ Ā 

Data ManagementĀ 

  • Auditing reportsĀ 

  • • Reviewing operational and client data within Salesforce and other internal systems; performing data hygiene tasks and coordinating with data owners to ensure accuracy in support of Operations team reportingĀ Ā 

  • • Creating financial summary reportsĀ 

  • • MaintainĀ and manage Salesforce data related to client relationships, prospect activity, opportunities, and executive benefit programs to support business development and client service initiativesĀ 

General  

  • Support the variousĀ facetsĀ of the Operations Team and projectsĀ 

  • Ensure successful completion of projects and initiatives within specifiedĀ timeframesĀ 

  • Proofreading and editing  

  • Considering and sharing ideas on efficiencies  

  • Perform additional responsibilities as requested or assigned  

  • Self-manage time, prioritizeĀ projectsĀ and work efficiently

Qualifications,Ā SkillsĀ and Requirements:Ā Ā 

  • Demonstrate a strong willingness to learn the Executive Benefits and nonqualified plan market.Ā 

  • Pursue relevant industry education and credentials (e.g., NQPC designation) to deepen subject matterĀ expertise.Ā 

  • Proficient with Microsoft Office applications including Excel, PowerPoint, OneNote, OneDrive,Ā WordĀ and OutlookĀ Ā 

  • Strong ability to learn new systems and toolsĀ 

  • Must be self-motivated and disciplinedĀ 

  • Strong research and problem-solving skillsĀ 

  • Excellent communication and attentive listening skills; able to interact effectively with people of variousĀ responsibilityĀ and authority (employees, key contacts, executives, etc.).Ā Ā 

  • Highly organized and strong prioritization and project management skillsĀ 

  • Utmost attention to detail and the translation of it as neededĀ 

  • Positive, upbeat attitudeĀ 

  • Ability to thrive in a fast-paced environment, while meeting or exceeding deadlinesĀ

Education, Training and Experience:Ā 

  • An earnedĀ BachelorĀ degree (orĀ its equivalent).Ā 

  • One or more years of experience in Operations Management and/or Project Management.Ā 

  • One or more years of experience in employee health & welfare or retirement benefits industry preferred.Ā 

  • Exceptional MS Office experienceĀ required. Expert levelĀ proficiencyĀ in Excel and PowerPoint is preferred.Ā 

Ā 

The typical base pay range for this role nationwide is $50,000 to $75,000 per year.Ā Ā 

Your base pay is dependent upon your skills, education, qualifications, professional experience, and location. In addition to base pay, some roles are eligible for variable compensation, commission, and/or annual bonus based on your individual performance and/or the company’s performance. We also offer eligible employees health, wellbeing, retirement, and other financial benefits, paid time off, overtime pay for non-exempt employees, and robust learning and development programs.
