About Austin Cosmetic Surgery

At Austin Cosmetic Surgery, we believe exceptional patient care begins long before a patient enters the operating room. Led by Dr. Michelle Cabret, our practice combines advanced cosmetic surgery, medical aesthetics, and wellness services to deliver a comprehensive, highly personalized patient experience.

We are seeking a highly organized, detail-oriented, and motivated Business Administrator to help oversee the daily business operations of our growing practice.

This is an ideal opportunity for someone who thrives in a fast-paced, high-end medical environment, takes ownership of their responsibilities, and understands that operational excellence is just as important as exceptional patient care.

Key Responsibilities

Business Operations & Administration

  • Support the day-to-day administrative and business operations of the practice.

  • Maintain organized, efficient workflows across clinical, surgical, and administrative departments.

  • Assist leadership with implementing and maintaining operational policies and procedures.

  • Manage vendor relationships, purchasing, office supplies, and inventory oversight.

  • Coordinate administrative projects and ensure deadlines and deliverables are met.

  • Identify opportunities to improve efficiency, productivity, and the overall patient experience.

Financial & Revenue Management

  • Assist with accounts payable, accounts receivable, invoicing, and payment reconciliation.

  • Monitor outstanding patient balances and support timely collections.

  • Maintain accurate financial records, reports, and transaction documentation.

  • Assist with expense tracking, budgeting, and financial reporting.

  • Support patient financing processes, surgical payment schedules, and financial agreements.

  • Work closely with leadership to identify opportunities for revenue growth and cost management.

Patient Experience & Practice Support

  • Help maintain a polished, professional, and welcoming environment for patients.

  • Support patient scheduling, surgical coordination, and administrative communication as needed.

  • Assist with resolving patient concerns professionally, discreetly, and efficiently.

  • Ensure patient documentation, financial agreements, and administrative records are accurate and complete.

  • Uphold the highest standards of patient confidentiality and HIPAA compliance.

Team & Leadership Support

  • Work directly with practice leadership to support operational goals and business initiatives.

  • Assist with employee onboarding, scheduling, and administrative HR functions.

  • Help establish accountability through organized reporting, follow-up, and task management.

  • Facilitate communication between departments to ensure smooth daily operations.

Qualifications

Required:

  • 3–5 years of experience in business administration, office management, or medical practice operations.

  • Strong organizational, multitasking, and problem-solving abilities.

  • Experience with financial administration, payment processing, and basic accounting principles.

  • Proficiency in Microsoft Office, Google Workspace, and business management software.

  • Excellent written and verbal communication skills.

  • High level of professionalism, discretion, and attention to detail.

  • Ability to work independently, prioritize competing responsibilities, and take initiative.

Strongly Preferred:

  • Previous experience in cosmetic surgery, plastic surgery, dermatology, medical aesthetics, or a high-end medical practice.

  • Familiarity with electronic medical records (EMR) and practice management systems.

  • Experience with Modernizing Medicine (ModMed).

  • Experience with QuickBooks, financial reconciliation, and operational reporting.

  • Understanding of elective, cash-pay medical practices and patient financing.

  • Experience supporting multiple departments in a growing medical business.

Who We're Looking For

We're looking for someone who is more than an administrator. We want a proactive problem-solver who thinks like a business owner.

Our ideal candidate:

  • Is exceptionally organized and doesn't need to be micromanaged.

  • Anticipates needs and solves problems before they become larger issues.

  • Understands the importance of both financial performance and patient satisfaction.

  • Is comfortable holding themselves and others accountable.

  • Thrives in a dynamic environment where no two days are exactly alike.

  • Takes pride in creating systems, improving processes, and making a meaningful impact.

  • Understands that discretion, professionalism, and exceptional service are nonnegotiable.

Why Join Austin Cosmetic Surgery?

You'll become part of a dedicated, ambitious team that is passionate about delivering extraordinary patient outcomes and experiences.

We value individuals who bring fresh ideas, take initiative, and want to grow alongside a successful and evolving practice.
