They areseeking a highly detailed, analytical, and personable Advisory Assistant to work directly alongside an Advisory Partner. In this pivotal support role,you will manage end-to-end client administration, execute complex investmentinstructions, assist with financial calculations, and ensure a seamless,high-care experience for private clients.
Key Responsibilities
- Client Communication & Service Excellence: Act as a warm, responsive liaison for clients—handling queries, requesting onboarding documentation (FICA/KYC), arranging meeting schedules, and assisting with client events.
- Comprehensive Administrative Management: Prepare documentation packs for advisor meetings, process new business onboarding, load client profiles onto the CRM, and manage the annual client review schedule.
- Transaction Execution & Workflow Tracking: Submit, monitor, and track essential financial instructions—including ad-hoc top-ups, withdrawals, portfolio switches, maturities, income changes, and Section 14/50 transfers.
- Technical & Financial Calculations: Perform fund allocation calculations, CGT (Capital Gains Tax) calculations for switches/withdrawals, generate fee reports, and produce client performance analysis summaries.
- Practice & Compliance Management: Maintain compliance records (FICA, FAIS, regular screening), manage depleted holdings, ensure signed client mandates are up to date, and maintain accurate filing for client documents and Wills.
- Office & Team Collaboration: Assist with reception coverage on a rotational basis and mentor fellow administrative team members to support a thriving office cultureÂ
Requirements
- Proven track record in an administrative or support capacity within a financial planning, wealth management, or LISP environment.
- Strong proficiency with MS Office (Outlook, Excel, Teams), SharePoint, and financial CRM software.
- Comfortable performing basic financial calculations (CGT, fund allocations, performance reporting) with exceptional accuracy.
- Meticulous attention to detail, strong problem-solving ability, excellent time management, and the emotional intelligence to communicate professionally with high-net-worth clients.
