About the Role
Advanced Wealth Management Group (AWMG) is hiring a Senior Administrative Assistant to own the paperwork and administrative work behind our client relationships. This is a full-time, in-office, back-office role supporting our CFP® professionals and the pre-retirees and retirees we serve.Â
AWMG is a fiduciary wealth management firm specializing in retirement income, tax-efficient distribution planning, Social Security strategy, and estate planning. Every account opening, transfer, and distribution our clients count on depends on accurate, timely paperwork. We're looking for a seasoned professional who brings the precision, discretion, and follow-through that come from a decade of experience.
What You'll Do
- Account paperwork: Prepare, review, and submit new account forms, transfers, beneficiary updates, address changes, and distribution and RMD requests. Check every form for accuracy before it goes out and track each item until it is complete.
- Custodian liaison: Work directly with custodian service teams to resolve rejected or not-in-good-order paperwork, missing signatures, and transfer delays.
- Client support: Respond to client service requests by phone and email, help clients complete forms, and keep them updated on the status of their paperwork.
- Meeting preparation: Assemble review packets, gather statements, prepare forms for signature, and process follow-up items after client meetings.
- CRM and records: Maintain accurate client records, notes, and tasks in our CRM. Keep files organized and audit-ready in line with firm recordkeeping policies.
- Compliance support: Follow firm procedures for client privacy, document retention, and communications. Assist with annual compliance tasks and reporting as directed.
- Advisor support: Schedule client reviews and manage advisor follow-up tasks so our planners can focus on planning.

- Working knowledge of regulatory recordkeeping and privacy expectations
- Clear, professional written and phone communication with clients and custodians
- Demonstrated discretion in handling confidential financial and personal information
- Strong organization and attention to detail; you catch errors before they leave the office
- Proficiency in Microsoft 365 (Outlook, Word, Excel) and comfort learning new software quickly
- Ability to manage competing priorities independently and follow multi-step processes through to completion
- High school diploma or equivalent
- Ability to pass a background check
