Job Title: Administrative Assistant - Temporary
Position Summary:
The Administrative Assistant will provide vital support to the Practice Administrator, Human Resource Generalist, and mid-level management team. This role is responsible for assisting with day-to-day administrative, financial, and operational tasks to ensure the smooth functioning of the practice. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities while maintaining professionalism and confidentiality. While this is designed as a full-time role, internship opportunities will also be considered for qualified candidates seeking experience in healthcare administration.
Key Responsibilities:
- Provide direct administrative support to the Practice Administrator, Human Resource Generalist, and management team.
- Manage ordering and restocking of office and clinical supplies, ensuring accurate inventory tracking.
- Enter invoices into QuickBooks and assist with accounts payable functions.
- Coordinate meetings, interviews, and company events, including scheduling, logistics, and preparation of necessary materials.
- Create and maintain spreadsheets, reports, and project documentation as needed.
- Support HR functions such as interview scheduling, candidate communication, and onboarding preparation.
- Perform general office tasks including filing, scanning, data entry, and document organization.
- Act as a point of contact for staff inquiries and assist with internal communication.
- Contribute to special projects and provide flexible support across departments.
Qualifications:
- Associate’s degree or equivalent administrative experience required (current students in relevant programs will be considered for internship opportunities).
- Prior experience in an administrative assistant or office support role (healthcare setting a plus).
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) with strong spreadsheet and organizational skills.
- Experience with QuickBooks or similar accounting software preferred.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects and deadlines in a fast-paced environment.
- Strong attention to detail, discretion, and professionalism.
