About the Position
ELPS Private Detective Agency, an established and growing private investigative and security services firm, is seeking a highly organized, motivated, and dependable Office Manager to oversee daily administrative operations and support our team of investigators, security professionals, and management.
We operate in a fast-paced environment where priorities can change quickly. The ideal candidate will be a proactive problem-solver who takes ownership of their responsibilities, works independently, and can manage multiple assignments without constant supervision.
This is an excellent opportunity for someone interested in the criminal justice, private investigation, legal, or security industries who enjoys a diverse and challenging work environment.
Key Responsibilities
Office Management & Administration
- Oversee daily office operations and ensure administrative functions run efficiently.
- Answer incoming telephone calls, respond to emails, and maintain professional communications with clients, employees, vendors, and business associates.
- Coordinate employee schedules, investigative assignments, and security staffing needs.
- Maintain organized and confidential case files, employee records, and company documentation.
- Prepare correspondence, reports, memos, proposals, and other business documents.
- Monitor deadlines, follow up on outstanding assignments, and ensure timely completion of administrative tasks.
Financial & Business Operations
- Assist with payroll processing, employee timekeeping, and payroll verification.
- Prepare client invoices, monitor accounts receivable, and follow up on outstanding payments.
- Perform basic bookkeeping and maintain accurate financial records.
- Assist with expense tracking, vendor payments, and general business administration.
Investigative & Operational Support
- Assist investigators with background investigations, database research, and information gathering.
- Review surveillance footage and assist with preparing investigative reports.
- Coordinate assignments between clients, investigators, and security personnel.
- Review reports and documentation for accuracy, completeness, and professionalism.
- Assist with special projects, confidential assignments, and other operational responsibilities as needed.
Qualifications & Requirements
- 2–3 years of office administration, office management, or related operational experience preferred.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Experience with QuickBooks, payroll systems, or similar business software preferred.
- Ability to manage multiple priorities, meet deadlines, and work effectively under pressure.

- Ability to handle sensitive and confidential information with professionalism and discretion.
- Dependable, punctual, and capable of working independently.
- A positive attitude and willingness to assist wherever needed.
- Ability to successfully complete a background check appropriate to the position.
Experience in private investigations, criminal justice, law enforcement, legal services, or security operations is a plus, but not required.
We value experience and ability over job titles and are willing to train the right individual on industry-specific responsibilities.
What We're Looking For
We are not simply looking for someone to answer phones and complete paperwork. We need someone who can take ownership of the office, anticipate needs, establish priorities, and help keep our operations running smoothly.
Our ideal Office Manager is someone who:
- Takes initiative rather than waiting to be told what to do.
- Can work independently with minimal supervision.
- Is comfortable juggling multiple responsibilities in a busy office.
- Follows through on assignments and holds themselves accountable.
- Is professional, resourceful, trustworthy, and dependable.
- Enjoys being part of a team while having the confidence to make day-to-day decisions.
