Bachelor’s degree or equivalent experience and five years of related experience.Ā 

JOB SUMMARY:Ā 
Plans, manage and a working lead for the staff service and business management functions forĀ 
multiple areas under the Shared Administrative Services. Responsible for overall managementĀ 
of departmental administrative and technical services, staff coordination, policy and procedureĀ 
development, strategic planning and special projects across multiple areas. Includes a variety ofĀ 
complex decisions with minimal direction.Ā 
MAJOR DUTIES / CRITICAL TASKS:Ā 
ļ‚· Manages and directs administrative or operational departmental services, processes andĀ 
special projects across multiple areas.Ā 
ļ‚· Performs administrative functions as a working lead to support multiple areas.Ā 
ļ‚· Develops planning, management, and organizational analysis; establishes goals andĀ 
objectives; directs and coordinates development of guidelines, policies, proceduralĀ 
changes and standards to improve administrative operations.Ā 
ļ‚· Manages and assists the Shared Administrative Services staff to align work processesĀ 
and to establish and attain goals and objectives for efficient department operation.Ā 
ļ‚· Oversees the development and administration of department budget.Ā 
ļ‚· Oversees multiple administrative or operational projects as assigned.Ā 
ļ‚· Responsible for staff development programs including programs to increase employeeĀ 
satisfaction for department.Ā 
ļ‚· Responsible for forming ad hoc support teams in response to institutional/departmentĀ 
initiatives.Ā 
ļ‚· Empowers Administrative Support Group to align work processes.Ā 
ļ‚· Assists the Administrative Support Group establishing and attaining goals and objectives.Ā 
ļ‚· Provides information coordination between administrative staff and leadership.Ā 
ļ‚· Oversees compliance and other training for department.Ā 
ļ‚· Provides Accountable Property Officer Services for department.Ā 
ļ‚· Provide guidance for interpretation of UTMB and departmental rules, regulations andĀ 
policies.Ā 
ļ‚· Provides information coordination between administrative staff and leadership.Ā 
ļ‚· Provides mediation and conflict resolution for department/process.Ā 
ļ‚· Meets with administrative support team to receive feedback, gather ideas & empowerĀ 
employees.Ā 
ļ‚· Makes complex administrative decisions regarding organizational and departmentalĀ 
issues.Ā 
ļ‚· Assists with personnel functions within department/process.

ļ‚· Ā Conducts employee performance reviews & makes recommendations for developmentĀ 
and reward for department/process.Ā 
ļ‚· Caretaker of budgetary funds used by the administrative support.Ā 
ļ‚· Provides guidance for interpretation of UTMB and departmental rules, regulations andĀ 
policies.Ā 
ļ‚· Identifies appropriate internal controls for department; provides mechanisms to monitorĀ 
and implement compliance.Ā 
ļ‚· Works with Office of University Advancement on grants and fundingĀ 
ļ‚· Represents the department leadership in their absence as needed.Ā 
ļ‚· Adheres to internal controls and reporting structure.Ā 
ļ‚· Performs related duties as required.Ā
