Job Overview
The Office Manager II or Senior Office Manager provides executive, administrative, and operational support to the Director of People Governance and Leadership Development team. This role is ideal for someone who is highly organized, proactive, and comfortable managing a wide variety of priorities in a Human Resources environment. The successful candidate will have strong follow-through, sound judgement, the ability to anticipate needs, can keep work moving, and can handle sensitive employee information with discretion. This role requires full time presence working 5 days per week, in-office.
This role reports to the Director, People Governance and Leadership Development.
Primary Responsibilities
Executive & Office Support
- Manage complex scheduling and calendars, including coordinating participants, resolving conflicts, and anticipating scheduling needs
- Track commitments, deadlines, and follow-up items to ensure work continues to move forward
- Coordinate travel, expenses, technology, and other administrative needs
- Prepare agendas, presentations, talking points, correspondence, and other meeting or leadership materials
- Organize and maintain team calendars, files, templates, schedules, and shared resources
- Serve as a central point of coordination between the Director, People Governance & Leadership Development and internal partners
- Anticipate needs, follow up on outstanding items, and appropriately flag issues requiring attention
People Team Coordination
- Provide administrative support for People Team activities including employee relations, training, policy administration, and employee communications
- Maintain personnel and other confidential People records in accordance with established recordkeeping, retention, access, and confidentiality requirements
- Prepare, organize, route, and appropriately file employee documentation
- Coordinate routine employee communications and follow up to ensure questions, requests, and required actions are brought through completion
- Maintain trackers, schedules, and documentation for recurring activities and requirements
- Build effective working relationships across the People Team, with Legal, IT, Facilities, Finance, and other partners
Project & Communications Support
- Coordinate administrative aspects of projects and initiatives, including schedules, meetings, action items, deadlines, and status tracking
- Follow up with stakeholders on outstanding actions and proactively identify items that may delay completion
- Gather and organize information for meetings, projects, presentations, and leadership discussions
- Draft and format professional emails, presentations, talking points, agendas, and other business materials
- Turn notes, background information, or general dissection into clear, organized first drafts
- Provide additional administrative and project support across People Governance & Leadership Development as needed
- Perform all job responsibilities with respect, fairness, consistency, and inclusion.
Minimum Qualifications
Education and Experience
- Required for Office Manager II (Salary: $70,139-$101,118): High School Diploma plus 6 years of relevant experience in executive administration, office management, Human Resources administration, project coordination, or a related area, including supporting senior leadership
- Required for the Senior Office Manager ($73,902-$101,118): High School Diploma plus 7 years of relevant experience in executive administration, office management, Human Resources administration, project coordination, or a related area, including supporting senior leadership
- Experience working with confidential or sensitive information
- Foundational knowledge of Human Resources practices, employee confidentiality, and personnel recordkeeping requirements
Skills
- Strong organizational, time management, and project coordination skills, with the ability to track multiple priorities and deadlines simultaneously
- Strong written and verbal communication skills, including the ability to draft professional correspondence, presentations, talking points, and meeting materials
- Proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint, with the ability to quickly learn new systems and tools
- Strong interpersonal skills and ability to build productive working relationships across all levels of an organization

- Must be in-office 5 days each week with full time presence in office.

Travel Requirements
- Minimal Travel, less than 10%.
Preferred Qualifications
- For the Office Manager II: An Associate degree with 5 years of relevant experience providing executive or office management support within a Human Resources or People function and supporting HR processes including 1 year in a supervisory role
- For the Sr. Office Manager: An Associate degree with 6 years of relevant experience providing executive or office management support within a Human Resources or People function and supporting HR processes including 2 years in a supervisory role
- Experience coordinating projects involving multiple stakeholders and deadlines
- Experience with ADP, document management, project management, or related business systems
