SUMMARY

The Repairs Coordinator is responsible for managing general trade repair tickets from intake through completion, most commonly plumbing, electrical, doors, locks, glass, and handyman work, though the role is not limited to these trades. Reporting to the Director of Repairs and Flooring, this role ensures timely scheduling, accurate documentation, and vendor coordination across assigned tickets.


PRIMARY RESPONSIBILITIES 

  • Manage assigned general trade repair tickets from acceptance through completion
  • Review and confirm scope clarity prior to vendor dispatch
  • Coordinate vendor scheduling and confirm appointment dates with clients
  • Maintain accurate, detailed documentation and status updates in WAVES
  • Monitor assigned tickets daily to prevent aging delays and prioritize workload accordingly
  • Update clients throughout the lifecycle of each ticket, from acceptance through closeout
  • Maintain working familiarity with each client's third party systems and unique program requirements
  • Manage email communication and inbox organization across all active tickets
  • Communicate proactively with vendors, clients, and internal teams to ensure smooth execution

KNOWLEDGE & SKILL REQUIREMENTS

  • 2–4 years of experience in construction coordination, facilities management, or flooring services.
  • Strong organizational skills, attention to detail, vendor coordination ability, time management, and customer communication skills.
  • Basic understanding of general trade repair processes (most commonly plumbing, electrical, doors, locks, glass, and handyman), proposal workflows, scheduling logistics, and billing readiness requirements.
  • Experience with work order management systems (WAVES preferred) and basic proposal review processes.
