Prime Group is looking for a Property Administrator to support both our Commercial and Association portfolios.Job SummaryThe Property Administrator reports directly to the Commercial Portfolio Manager and splits their time evenly (50/50) between supporting the Commercial Portfolio Manager and the Associations Portfolio Manager. The position is based at Portofino Plaza in Homestead and also works from the corporate office 2-4 days per month. The Property Administrator inspects properties every week, shows units, monitors vendor and contractor activity, and provides administrative support across all commercial and association properties.What You'll DoIncluding but not limited to:Leasing and Tenant Support Show Executive Suites units at Portofino Plaza to prospective tenants Help show available units throughout the building Complete tenant inspections Set up and maintain gate and building access for tenants, unit owners, and residentsProperty Inspections and Site Oversight Walk all assigned properties weekly and complete property inspection checklists Inspect all Homestead assets Periodically inspect association properties in the Florida Keys Do lighting inspections and report deficiencies Monitor vendor and contractor activity on site and report observations to the appropriate Portfolio Manager Act as the eyes and ears on each property: document conditions, concerns, and maintenance needs and escalate them to the appropriate manager Help document accidents, incidents, and property damage, and pass reports to the appropriate Portfolio ManagerAdministrative Support — Commercial Provide administrative support to the Commercial Portfolio Manager Prepare and send property-wide communications to tenants Post notices at properties as required Maintain tenant files, inspection records, and property documentationAdministrative Support — Associations Complete estoppel requests Provide administrative support to the Associations Portfolio Manager Help coordinate and prepare for Board, Annual Election, and Budget meetings, including notices and agendas Prepare and send community-wide communications to unit owners and residents, such as memorandums, rules and regulations updates, and notices of scheduled maintenance Post required meeting and community notices Help maintain homeowner logs, work order records, and association files Help coordinate special service requests from unit owners Perform other duties as assigned by the Commercial and Associations lines of businessWhat You Bring High school diploma or equivalent Prior property management experience (commercial or community association) preferred but not required Bilingual required: fluent in reading and writing both English and Spanish Highly organized and detail-oriented, with strong written and oral communication skills Able to manage priorities and assignments from multiple managers Self-directed and motivated, comfortable working independently in the field and collaboratively in an office setting Proficient in Microsoft Excel, Word, and Outlook; experience with Yardi or Rent Manager is a plus Interest in pursuing a Florida CAM license is a plus Able to communicate professionally with tenants, unit owners, residents, vendors, contractors, and Board members Valid driver's license, reliable transportation, and ability to travel to the corporate office and Florida KeysWhy You'll Love It Here Competitive salary Comprehensive benefits package including health insurance, retirement plans, and paid time off Collaborative and team-oriented work environment Opportunities for professional development and career advancement within a growing organizationAbout Prime GroupPrime Group's vertically integrated approach unifies multiple real estate disciplines under a single roof, sharing a multifaceted vision of improved, sustainable real estate development through diverse strengths, strategic affiliates, and talented in-house professionals.
