Job Summary 

The Project Expeditor is responsible for managing and coordinating the project planning process to support successful proposal development and submission activities. This role serves as a central point of coordination across business development, pricing, contracts, technical contributors, and program stakeholders to ensure proposal efforts remain aligned with established schedules and delivery requirements. The position provides oversight of proposal execution activities, tracks progress against key milestones, and supports the review and validation of proposal content prior to submission. Working within a dynamic proposal environment, the Proposal Expeditor ensures standardized processes, templates, and workflows are effectively utilized throughout the proposal lifecycle. The role directly contributes to achieving on-time, compliant, and high-quality proposal submissions in support of organizational growth objectives. 

Roles and Responsibilities 

  • Manage the project planning process from proposal initiation through final submission. 
  • Coordinate proposal development activities and ensure execution remains aligned with established schedules, milestones, and delivery requirements. 
  • Initiate and facilitate proposal kick-off meetings, reviews, and coordination sessions with internal stakeholders and proposal team members. 
  • Develop, maintain, and communicate proposal schedules, action item trackers, and status reports throughout the proposal lifecycle. 
  • Coordinate proposal reviews, compliance checks, validation activities, and approval workflows to support submission readiness. 
  • Request, collect, and track subcontractor inputs, technical content, pricing information, and supporting proposal documentation. 
  • Facilitate collaboration among business development, contracts, pricing, and technical teams to support proposal planning and execution. 
  • Monitor proposal progress, identify schedule risks or obstacles, and elevate concerns to leadership for resolution. 
  • Validate completion of required proposal deliverables and coordinate final submission activities in accordance with established procedures. 
  • Prepare recurring and ad hoc status reports to provide leadership visibility into proposal health, readiness, and execution progress. 
  • Other duties as assigned in support of mission and business requirements. 

Basic Qualifications 

  • Bachelors degree and 5+ years of experience
  • Active Secret Clearance
  • Experience managing proposal schedules, milestones, and submission activities. 
  • Experience coordinating cross-functional teams supporting proposal development efforts. 
  • Experience preparing proposal status reports, trackers, and workflow documentation. 
  • Experience supporting proposal review, validation, or approval processes. 

Preferred Qualifications 

  • Experience supporting U.S. government proposal efforts. 
  • Experience working within structured proposal management frameworks or lifecycle processes. 
  • Experience coordinating subcontractor or teaming partner proposal inputs. 
  • APMP certification or related proposal management training. 
  • Experience using proposal tracking, workflow, or business development systems.
