Basic Purpose:

This position directly supports the Assisted Living neighborhood and responsible for the overall efficient functioning of the office area and provides direct administrative support.

Schedule: Every other weekend, alternating Monday and Friday shifts. No holidays.

Job Specifications:

Education: High school diploma or GED preferred.

Experience: Previous office related experience and knowledge of healthcare industry preferred.

Knowledge/Aptitude:

  1. Must be able to cope with mental and emotional stress related to working with persons who are ill, disabled, elderly, and/or emotionally upset.
  2. Must be able to communicate in English.
  3. Must have minimal literacy and ability to add and subtract numbers, recognize names, and be able to accurately complete required documentation.
  4. Must be able to tolerate frequent work interruptions, organize work and reset priorities in order to complete work responsibilities in a timely manner.

 

Skills: Must be proficient in MS Office.

 

Health:

  1. Must be free of diseases which may be transmitted in the performance of job responsibilities during the stage of communicability unless person can be given duties which minimize the likelihood of transmission. [ORC 3701-17-07(B)]
  2. Must be certified by a physician as medically capable of performing the duties prescribed for this position. [ORC 3701-17-07 (D)] This examination includes a drug screen and TB testing.

 

Working Conditions:

  1. Uniform/dress requirements: Refer to Heath Services Grooming & Dress Guidelines.
  2. Hazardous materials exposure/environmental hazards:
    1. May be exposed to infectious waste, diseases and conditions.
    2. May be exposed to hazardous materials as defined by OSHA.
    3. May be exposed to angry or combative residents and personnel.

Essential Functions and Responsibilities: 

  1. Provides professional telephone reception by answering and screening incoming calls, directing inquiries appropriately, and communicating messages accurately, clearly, and promptly to ensure effective communication throughout the organization.
  2. Maintains security of residents information throughout the day-to-day operations
  3. Greets and welcomes all residents, families, visitors, staff, vendors, and other guests in a courteous, professional, and welcoming manner. Provides accurate information, direction, and assistance to ensure a positive first impression and exceptional customer service experience while reflecting the values and standards of Otterbein Jackson.
  4. Responds to requests for information by providing brochures, informational packets, and other community resources, while ensuring inquiries are directed promptly to the appropriate team member for follow-up.
  5. Inputting transportation requests and entering workorders in a timely manner
  1. Monitor inventory and coordinate the replenishment of forms and printed materials before stock is depleted.
  2. Ensure all forms and documents are current, organized, and readily accessible for staff, residents, and visitors.
  3. Maintain the appearance and organization of the lobby and reception area to provide a positive first impression for residents, families, and visitors.
  4. Ensure magazines, brochures, and other reading materials are current, organized, and well-stocked.
  5. Routinely monitor the reception area for spills, clutter, safety hazards, or maintenance concerns and promptly notify Environmental Services (EVS) or the appropriate department for resolution.
