Job Purpose and Reporting Structure:

Under the direction of the Director of Human Resources, the HR Assistant provides administrative and operational support to the Human Resources department with a primary focus on recruitment, hiring coordination, and new employee onboarding.

This role is responsible for supporting the full-cycle hiring process, coordinating first-day orientation activities, maintaining accurate employee records, and assisting with essential HR administrative functions to ensure compliance, efficiency, and a positive employee experience.

Essential Duties and Responsibilities include, but are not limited to the following:

  • Recruitment & Hiring Support
    • Assist with recruitment activities including posting job openings, tracking applicants, and managing candidate flow.
    • Conduct initial phone interviews and candidate screenings.
    • Coordinate and schedule on-site interviews with hiring managers and leadership.
    • Communicate with candidates throughout the hiring process, including interview confirmations, follow-ups, and next steps.
    • Support pre-employment processes, including background checks and onboarding preparation.
  • Onboarding & Orientation
    • Coordinate onboarding meetings and activities for new hires, including preparation of new hire paperwork and onboarding materials
    • Schedule and assist with first-day orientation and onboarding sessions.
    • Ensure completion and proper filing of all required new hire documentation.
    • Serve as a point of contact for new employees during onboarding and initial employment.
  • HR Administration & Support
    • Maintain and update employee personnel files (physical and electronic) in accordance with company policies and confidentiality requirements.
    • Track and update employee attendance records.
    • Review employee timecards for accuracy and completeness prior to payroll processing.
    • Assist with basic payroll-related support and HR reporting.
    • Assist with filing, document retention, and compliance-related recordkeeping.
    • Respond to routine employee questions regarding HR policies, procedures, and processes.
    • Provide general administrative support to the Human Resources department as needed.
    • All other duties as assigned.

Qualification Requirements: 

  • Education & Experience
    • High school diploma or equivalent required; Bachelor’s degree or coursework in Human Resources, Business Administration, or related field preferred.
    • Previous administrative or HR-related experience strongly preferred.
    • Experience with candidate screening, interview scheduling, or applicant tracking systems is a plus.
  • Skills & Abilities
    • Strong attention to detail and organizational skills.
    • Ability to handle confidential information with discretion and professionalism.
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with HRIS systems is beneficial.
    • Excellent communication and interpersonal skills.
    • Ability to multitask and prioritize in a dynamic, fast-paced environment.

Physical Demands and Work Environment:

This is a part-time position with specific hours to be determined based on business needs. Some travel may be required to attend recruitment-related events or help support plant events. There is potential to transition to full-time in the future.

This role requires the ability to sit, stand, and perform routine office tasks for extended periods. Occasional lifting of up to 25 lbs. may be required for equipment or materials.
