Description

At Labconco, we design and manufacture high-quality laboratory equipment used by researchers, healthcare organizations, educational institutions, and industrial facilities around the world.

We are seeking a detail-oriented Administrative Assistant to support our Manufacturing, Purchasing, and Materials Management teams. This position plays an important role in supporting the day-to-day administrative functions that help keep our manufacturing operations running efficiently and on schedule.

Working in a dynamic manufacturing environment, you will interact with employees across multiple departments, including purchasing, production, materials management, and metal fabrication. You will help manage critical documentation, support operational reporting, coordinate supplies and resources, and assist with a variety of projects that contribute to plant productivity and customer satisfaction.

This role is ideal for someone who enjoys organization, multitasking, and collaborating with others. The successful candidate will serve as a key administrative resource for teams responsible for transforming raw materials into finished products through fabrication, assembly, and manufacturing processes.

Requirements

Essential Duties

  • Provide administrative and office support to Manufacturing, Production Control, and Purchasing teams.
  • Maintain, scan, upload, and organize key business documents, including purchase order acknowledgments, ECO/revision documentation, supplier compliance forms, and other operational records.
  • Support supplier communication by sending compliance requests, tracking responses, following up as needed, and maintaining accurate documentation.
  • Purchase and maintain office, safety, and MRO supplies to help ensure plant and office needs are met.
  • Sort and distribute department mail and assist with production documentation, including copying instruction sheets as requested.
  • Support purchasing team members and department leaders with administrative tasks and special projects.
  • Help maintain electronic records such as plant training or competency documentation.
  • Serve as a back-up for front desk/switchboard coverage during breaks, lunches, or absences.
  • Participate in safety committee activities, including taking and publishing meeting minutes.
  • Prepare, update, and distribute recurring operational reports related to production activity, labor utilization, efficiency, attendance, shortages, returns, transfer orders, and other manufacturing or purchasing metrics.
  • Assist with internal communications and employee engagement activities, including recurring memos and celebrations.

What We're Looking for

  

  • Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook, with the ability to create spreadsheets, reports, pivot tables, and charts.
  • Strong written and verbal communication skills with the ability to interact professionally with employees, suppliers, customers, and management.
  • Demonstrated analytical, mathematical, and problem-solving skills, including the ability to interpret data, calculate percentages and ratios, and support operational reporting.
  • Proven ability to multitask, prioritize competing responsibilities, and meet deadlines in a fast-paced environment.
  • Strong organizational skills and attention to detail, with the ability to maintain accurate records, documentation, and reports.
  • Ability to work independently with minimal supervision while contributing effectively as part of a cross-functional team.
  • Valid driver's license and ability to travel as needed to support business operations.
