POSITION SUMMARY
The Operations Manager is the firm’s operational hub, ensuring seamless day-to-day operations, consistent administrative processes, and exceptional client and employee experience. This role oversees office operations, client onboarding, workflow coordination, billing administration, technology systems, and internal business support while partnering closely with leadership to advance strategic initiatives and maintain the organized, responsive environment that defines the firm’s service.

Position is in-office, either in Ketchum, Idaho or Enteprise, Oregon.

KEY RESPONSIBILITIES
  • Manage daily office operations to keep the workplace organized, productive, and efficient.
  • Serve as the first point of contact for clients, visitors, prospects, and incoming communications.
  • Own and improve client onboarding, including engagement letters, intake, document collection, portal setup, and communication workflows.
  • Coordinate calendars, meetings, appointments, schedules, and firm events.
  • Maintain firm records, client files, confidential documents, and administrative systems in line with policies and requirements.
  • Track workflow systems and administrative deadlines to support project visibility, capacity planning, and resource needs.
  • Support teams with project administration, workflow coordination, document processing, and deadline tracking.
  • Serve as administrator or key user for practice management, document management, client portal, workflow, and operational technology platforms.
  • Coordinate with external vendors, consultants, and providers for technology, facilities, and office support.
  • Oversee office supplies, equipment, facilities, vendors, and general workplace operations.
  • Assist with invoicing, billing, accounts receivable follow-up, payment processing, collections support, and related financial administration.
  • Monitor administrative budgets, vendor contracts, subscriptions, and operating expenses.
  • Support employee orientation and ensure new team members have the tools and resources needed to succeed.
  • Develop, document, and improve office procedures, administrative workflows, and operational best practices.
  • Support leadership with special projects, strategic initiatives, and operational improvements.
  • Promote compliance with firm policies, confidentiality, data security, and operational standards.

Requirements

REQUIRED QUALIFICATIONS
  • Bachelor’s degree in business administration, accounting, management, communications, or related field preferred; equivalent experience considered.
  • 3+ years of progressive experience in office operations, professional services administration, office management, or business operations; 5+ years preferred.
  • Proven ability to manage competing priorities in a deadline-driven environment.
  • Trusted to handle confidential information with discretion and professionalism.
  • Experience coordinating projects, workflows, deadlines, and administrative processes.
  • Strong technology skills, including Microsoft Office and cloud-based business software; ability to learn and administer practice management, workflow, and document management systems.
PREFERRED QUALIFICATIONS
  • Experience working in a CPA firm, tax practice, accounting firm, financial advisory firm, or other professional services organization.
  • Experience with billing, bookkeeping, payroll coordination, vendor relationships, or related financial administrative functions.
  • Experience supporting a growing organization through process development and operational improvement initiatives.
