Position Summary
The Administrative Assistant to the Pastor provides dependable, confidential, and organized administrative support to the Pastor and the Office of the Pastor. This role helps coordinate schedules, communications, meetings, ministry activities, records, and daily office operations while reflecting the mission, values, and spiritual character of the church.
The ideal candidate is organized, professional, discreet, service-oriented, and able to work effectively with church leaders, staff, members, volunteers, and community partners.
Essential Responsibilities
- Manage and maintain the Pastor’s calendar, appointments, meetings, speaking engagements, and ministry commitments.
- Schedule and coordinate meetings, conferences, visits, and special events.
- Prepare agendas, correspondence, reports, presentations, meeting materials, and follow-up communications.
- Serve as a primary point of contact for the Office of the Pastor through phone, email, written correspondence, and in-person communication.
- Receive, prioritize, and route inquiries and requests appropriately.
- Maintain confidential files, records, contact information, and administrative documents.
- Assist with preparation for worship services, pastoral meetings, leadership meetings, ceremonies, and church events.
- Coordinate travel arrangements, itineraries, lodging, transportation, and related documentation as needed.
- Draft, proofread, and distribute letters, announcements, newsletters, email communications, and other materials.
- Track deadlines, assignments, invitations, appointments, and follow-up items for the Pastor.
- Maintain accurate records of correspondence, engagements, community contacts, and ministry activities.
- Assist with expense reports, purchase requests, invoices, reimbursements, and office supply management.
- Coordinate communication and information flow between the Pastor, church staff, ministry leaders, committees, and congregation.
- Support special projects and administrative initiatives assigned by the Pastor.
- Welcome visitors and help create a warm, professional, and hospitable office environment.
- Perform other duties consistent with the responsibilities of the position.
Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Two or more years of administrative, executive assistant, church, nonprofit, or related experience preferred.
- Strong organizational, time-management, written, and verbal communication skills.
- Proficiency with Microsoft Office or Google Workspace, email, calendars, videoconferencing, and general office technology.
- Ability to manage multiple priorities and meet deadlines with minimal supervision.
- Excellent attention to detail and accuracy.
- Ability to exercise sound judgment and maintain strict confidentiality.
- Professional, welcoming, and respectful demeanor.
- Ability to work effectively with individuals from diverse backgrounds and levels of church leadership.
- Familiarity with church administration, ministry operations, or nonprofit settings is preferred.

Work Schedule and Environment
- Work is generally performed in an office setting.
- Regular office hours may include occasional evenings, weekends, holidays, or special church events.
- The position may require interaction with staff, church members, visitors, volunteers, community leaders, and external organizations.
