- Maintain and update daily leasing pipeline spreadsheets, contract trackers, and status reports for active store deals and agreements.
- Prepare finalized lease and contract execution packages and coordinate signature routing to internal executives, landlords, and other stakeholders.
- Manage electronic signature processes through DocuSign or similar platforms, ensuring documents are completed and properly tracked.
- Organize, maintain, and archive executed leases, amendments, legal notices, and related documentation within electronic filing systems.
- Distribute finalized contracts and lease documentation to appropriate internal partners, including Finance, Accounting, Retail Operations, Real Estate, and other cross-functional teams.
- Support document review processes by formatting documents, proofreading information, and assisting with redlines and document comparisons.
- Track outstanding documents, signatures, approvals, and deadlines and proactively follow up with stakeholders to keep transactions moving.
- Maintain accurate and up-to-date records to ensure the team has clear visibility into the status of active agreements.
- Coordinate meetings, organize materials, and provide general administrative support to the Real Estate and leasing teams.
- Partner with internal teams to support POP MART’s continued retail expansion across North America.
- 2+ years of experience in an administrative, office, legal assistant, real estate, leasing, or similar support role.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Ability to manage multiple documents, deadlines, and priorities simultaneously in a fast-paced environment.
- Proficiency with Microsoft Office, particularly Word and Excel.
- Experience working with PDFs and electronic document management.
- Familiarity with DocuSign, contract routing, redlines, or document comparison tools is preferred.
- Strong written and verbal communication skills.
- Ability to work effectively with multiple stakeholders and follow up proactively to keep projects moving.
- Experience within commercial real estate, retail leasing, property management, or a legal environment is a plus but not required.
