Prairie Grove Orthodontics is looking for a friendly, organized, and people-loving Patient Coordinator to join our team!

At Prairie Grove, we believe orthodontics should be about more than straight teeth—it’s about creating an experience that makes patients and families feel welcomed, cared for, and excited about their smile journey.

As a Patient Coordinator, you’ll often be one of the first people a new patient meets. You’ll help families feel comfortable when they walk through our doors, answer their questions, keep things running smoothly behind the scenes, and help them take that exciting first step toward treatment.

What You’ll Do

You’ll be an important part of both our front-office and patient experience teams. Your day will include:

  • Making every patient and family feel welcomed, comfortable, and cared for from the moment they arrive
  • Helping new patients navigate their first visit and answering questions about orthodontic treatment
  • Scheduling appointments while coordinating with our clinical team and established scheduling protocols
  • Supporting patients and families over the phone by answering questions, providing guidance, and helping them find solutions
  • Confirming and updating patient contact information
  • Working closely with our clinical team to communicate important patient information
  • Collecting and posting patient payments
  • Gathering and verifying insurance benefits
  • Communicating with dental offices and specialists regarding referrals, X-rays, claims, and mutual patients
  • Scanning and documenting referrals, letters, records, and other information in patient accounts
  • Preparing paperwork and materials for the following day's new patient and recall appointments

Dental experience is preferred, but we’re much more interested in finding the right person who fits our team and shares our commitment to taking great care of our patients. A minimum of one year of customer-facing experience is preferred.

Monday–Thursday
7:00 AM–4:30 PM, September–May
7:00 AM–3:30 PM, June–August

Locations: Sun Prairie, Madison, and Beaver Dam
