Student Accounts Specialist

Job Details: Job Location: Midway University - Midway, KY, Position Type: Full Time, Salary Range: Undisclosed, Paying for college is one of the most stressful parts of the student experience, and our Business Office exists to make it clearer and more manageable. As a Student Accounts Specialist, you'll be a trusted point of contact for students, families, sponsors, and campus partners, and you'll keep the financial operations behind every student account accurate and on time. You'll run billing, manage cashiering and reconciliation, administer payment plans, and serve as the office's lead on veteran and workforce-sponsored student accounts. This role suits someone who enjoys both helping people and getting the numbers exactly right.What You'll DoStudent and family support Meet with students and families in person and respond to phone and email inquiries, explaining charges, payment options, deadlines, and policies in clear, plain language. Partner with Financial Aid, the Registrar, Housing, and Veterans Services to resolve account issues and keep students enrolled.Billing and account management Run and maintain the electronic billing process each term and prepare manual invoices when needed. Post account adjustments, tuition and housing deposits, and other charges accurately and in line with institutional policy. Set up and maintain student payment plans and produce related reports.Cashiering and reconciliation Record receipts for accounts receivable and non-AR accounts. Reconcile all cashier sessions daily and produce end-of-day reports. Prepare bank deposits and deposit reports. Reconcile petty cash monthly.Third-party and sponsored billing Invoice and manage accounts for students funded through VA education benefits, VA Veteran Readiness and Employment (Chapter 31), and WIOA workforce programs. Track sponsor payments through the VA Vendor Inquiry System (VIS) and follow up on outstanding balances.Office operations Support the day-to-day operations of the Business Office, contribute to procedure documentation, and suggest process improvements. Protect student and payment data in compliance with FERPA, PCI-DSS, and institutional policies.Qualifications: Required Qualifications Bachelor’s degree in accounting, business, or related field, or an equivalent combination of education, training and experience that demonstrates the required knowledge, skills and abilities. 2+ years of experience in accounts receivable, cashiering, billing, or a related financial role Demonstrate a meticulous and thorough approach to your work Clear, courteous written and verbal communication skills and a service-first mindset Ability to manage competing priorities and meet deadlines, especially during term start and billing cycles Proficiency with Excel and comfort learning student information and payment systems Demonstrated accuracy in handling cash, posting transactions, and reconciling accountPreferred Qualifications Higher education experience in a business office, bursar, or financial aid setting Knowledge of FERPA and 1098-T reporting Experience with [Banner/Colleague/Jenzabar/other SIS] Familiarity with VA education benefits, VR&E, WIOA, or other third-party sponsor billingWhy Join Us at Midway Comprehensive health, dental, and vision coverage Retirement plan with employer contribution Generous paid time off and holidays Tuition waiver for you and eligible dependents Meaningful work that directly supports studentsReview of applicant materials will begin immediately and will continue until the position is filled.Currently, Midway University is unable to provide new employment visa sponsorship.
