Job Summary:

The purpose of this position is to provide administrative, informational support and excellent customer service to the department, clients, and corporate office visitors. This position provides general administrative support for Mission Services including scheduling and calendar coordination, document maintenance, and other departmental administrative functions. The position will be located at Goodwill’s Lifsey location in the front reception office.

Job Description

Essential Functions

  • Assist in answering multi-line phone system delivering excellent customer service for internal and external customers of Goodwill as needed.
  • Assist with scheduling meetings and calendar management for the Vice President and Directors.
  • Assist with administrative and financial processes, including submission of client stipends, purchase order, mileage reimbursement, and other documentation to accounting. Create and maintain documents and postings for the department. Assist with clerical support including projects related to the department.
  • Manage the supplies of the department; at times including marketing materials and office supplies using Goodwill’s PO system.
  • Assist with maintenance of the department databases which may include client information and center information.
  • Provide data entry support to the department as needed. Greet Career and Technical Academy students and authorized visitors entering the Opportunity Center, confirm their purpose for visiting, provide directions or assistance, and courteously redirect all other visitors to the building’s main entrance.
  • Manage public calendar for all public events, meetings and trainings.
  • Be knowledgeable of and comply with all company policies and procedures, as well as legal requirements, at all times and maintain a clean and safe work environment.
  • Regular, reliable attendance as defined in Goodwill’s attendance policy.
  • Other duties as assigned by management.

Minimum Qualifications


Required Skills

Education

  • High School Degree or GED Equivalent is required.

Experience

  • One year of office experience is preferred.
  • Experience working in customer service required.
  • Ability to learn and utilize accounting, purchasing, various administrative accounting, and purchasing software required.

Knowledge and Skills

  • Must possess excellent telephone skills including clear pronunciation and diction and a friendly tone.
  • Able to deal with all situations in a calm and positive manner.
  • Must have a positive attitude and be able to work in a highly active and energized team oriented work environment.
  • Able to proficiently use Microsoft Word, Excel, Outlook, Internet and have the ability to learn new software as needed.
  • Able to do basic math (addition, subtraction, multiplication and division).
  • Strong written and oral communication skills including ability to be able to communicate effectively with all levels of management and employees.
  • Strong time-management, interpersonal, and organizational skills.

Preferred Education / Experience / Knowledge & Skills / Certifications & License

  • Ability to use Microsoft 365 proficiently is preferred.
