PositionĀ Summary:

TheĀ AdministrativeĀ Coordinator,Ā BRETĀ OfficeĀ StrategicĀ InitiativesĀ servesĀ asĀ aĀ keyĀ programmatic and operational resource within the Office of Biomedical Research Education and Training (BRET). Reporting to the Senior Director of Strategic Initiatives, this position independently coordinates strategic projects, educational programs, office operations, and executive priorities to advance the BRET Office mission. The position manages cross-functional projects and program activities, supports the BRET Office Leadership Team, and coordinates initiatives related to graduate education and the Vanderbilt Summer Science Academy (VSSA).

  • StrategicĀ InitiativesĀ andĀ ProjectĀ CoordinationĀ (30%)

    • PartnerĀ withĀ theĀ SeniorĀ DirectorĀ ofĀ StrategicĀ InitiativesĀ andĀ BRETĀ OfficeĀ leadership to plan, coordinate, implement, and assess strategic and operational initiatives.

    • IndependentlyĀ manageĀ projectsĀ fromĀ planningĀ throughĀ implementation, establishing timelines, milestones, responsibilities, and deliverables.

    • MonitorĀ projectĀ progress,Ā identifyĀ risksĀ andĀ dependencies,Ā resolveĀ routineĀ issues, and escalate matters requiring leadership decisions.

    • CoordinateĀ cross-functionalĀ initiativesĀ involvingĀ BRETĀ OfficeĀ leadership,Ā faculty, trainees, staff, and University partners.

    • PrepareĀ projectĀ plans,Ā statusĀ reports,Ā briefingĀ materials,Ā dashboards,Ā andĀ other resources to support leadership decision-making.

    • TrackĀ strategicĀ priorities,Ā leadershipĀ decisions,Ā andĀ actionĀ itemsĀ andĀ facilitate follow-up across stakeholders.

    • Gather,Ā analyze,Ā andĀ summarizeĀ informationĀ toĀ supportĀ strategicĀ planning, program development, and operational decision-making.

    • EvaluateĀ administrativeĀ processesĀ andĀ workflowsĀ andĀ recommendĀ opportunitiesĀ to improve efficiency and effectiveness.

    • CoordinateĀ implementationĀ ofĀ newĀ administrativeĀ processesĀ andĀ technologies.

    • ManageĀ theĀ complexĀ calendarĀ ofĀ theĀ SeniorĀ AssociateĀ Dean,Ā organizingĀ and coordinating meetings and priorities across multiple stakeholders.

    • OrganizeĀ andĀ coordinateĀ recurringĀ leadershipĀ meetingsĀ byĀ developingĀ agendas, preparingĀ andĀ distributingĀ materials,Ā documentingĀ decisions,Ā andĀ trackingĀ action items.

    • DraftĀ correspondenceĀ andĀ coordinateĀ executiveĀ communicationsĀ andĀ briefing materials.

    • ArrangeĀ domesticĀ andĀ internationalĀ travel,Ā reimbursements,Ā andĀ business expenses.

    • AssistĀ withĀ grant-relatedĀ reportsĀ andĀ requestsĀ forĀ information.

    • CoordinateĀ executiveĀ prioritiesĀ withĀ theĀ SeniorĀ DirectorĀ ofĀ StrategicĀ InitiativesĀ and facilitate follow-up among stakeholders.

    • AssistĀ withĀ procurementĀ andĀ trackingĀ forĀ theĀ ChazinĀ Laboratory.

    • PartnerĀ withĀ theĀ ChazinĀ LaboratoryĀ ManagerĀ toĀ arrangeĀ laboratoryĀ meetingsĀ and special events.

    • MaintainĀ workingĀ knowledgeĀ ofĀ UniversityĀ procurement,Ā travel,Ā andĀ business expense policies.

    • ExerciseĀ discretionĀ andĀ maintainĀ confidentialityĀ whenĀ handlingĀ sensitive information.

    • InitiateĀ andĀ manageĀ theĀ annualĀ studentĀ backgroundĀ checkĀ processĀ andĀ other administrative activities supporting graduate education.

    • Partner with University offices, including VUIT, Facilities, Finance, and other administrativeĀ units,Ā toĀ resolveĀ operationalĀ issuesĀ andĀ implementĀ BRETĀ Office priorities.

    • DevelopĀ andĀ maintainĀ administrativeĀ processesĀ andĀ proceduresĀ toĀ support consistency and operational continuity.

    • IdentifyĀ opportunitiesĀ toĀ improveĀ recurringĀ administrativeĀ processesĀ andĀ coordinate implementation of approved changes.

    • ManageĀ theĀ annualĀ VSSAĀ programĀ fromĀ planningĀ throughĀ implementationĀ and assessment in close coordination with the VSSA Director.

    • DevelopĀ andĀ maintainĀ theĀ annualĀ programĀ timeline,Ā includingĀ keyĀ milestones, deadlines, stakeholders, and operational requirements.

    • MaintainĀ theĀ VSSAĀ handbook,Ā website,Ā programĀ materials,Ā andĀ participant communications.

This position does not have direct supervisory responsibility. The position reports administrativelyĀ toĀ theĀ SeniorĀ DirectorĀ ofĀ StrategicĀ InitiativesĀ andĀ functionallyĀ toĀ theĀ Senior Director of Strategic Initiatives and the Senior Associate Dean. The position also works collaboratively with the BRET Office Leadership Team.
