QUALIFICATIONS

  • Bachelor's Degree preferred
  • Minimum of four years donor database management experience
  • Mastery of Raiser’s Edge, RE NXT, or similar cloud-based database
  • Proficiency in Microsoft Office
  • Excellent interpersonal, oral, and written communication skills
  • Demonstrated experience in donors relations and customer service

JOB SUMMARY

The Foundation Database Specialist is responsible for managing all donor information systems including reporting, data analysis, gift processing and acknowledgements, managing data import and data entry, data extraction, data quality initiatives, online payment integration, and other related activities. The Foundation Database Specialist will be the lead contact for data analytics, working with staff and stakeholders to understand data needs and to develop actionable insights. This position serves as the primary point of contact for the Foundation Office and supports the day-to-day operations of the Hospital for Special Care Foundation.

ESSENTIAL FUNCTIONS

  • Manages all aspects of Raiser’s Edge/RE NXT and related systems including data integrity, updates, website integration and corrections.
  • Develops effective and efficient systems to manage data connections and transfers between Raiser’s Edge/RE NXT and related systems.
  • Manages processing of all gifts via mail, credit card, online, and stock transfer including batch and gift entry with appropriate coding and packaging.
  • Produces acknowledgement letters/tax receipts while checking for grammatical/typographical mistakes and knowledge of practical tax receipting protocol.
  • Generates pledge reminders and invoices.
  • Manages the month-end process, trouble-shooting and auditing data to ensure the smooth transfer of data to the fiscal team as well as performing a monthly reconciliation report and review with fiscal team.
  • Develops reports and manages the regular distribution of data, including daily revenue report.
  • Works with relevant hospital departments to support sharing of data and information across data platforms, including Omatic, CRM and volunteer data systems.
  • Produces queries, reports, lists needed by development staff as needed for data analysis, reconciliation, mailings, events, and moves management.
  • Event Support, including assisting with tracking of event RSVPs, event registration and check in, and other event support as needed.
  • Serve as a primary point of contact for the Foundation office including individuals with questions about how to make a gift or following up about gifts made.
  • Supports the annual HFSC Foundation Scholarship process including promotion of the application, collection of applications and serves a primary point of contact with applicants.
  • Serve as the primary point of contact for the Foundation office, answering the main phone line, responding to general inquiries, assisting donors with questions regarding charitable giving, and directing calls and requests to the appropriate team members.
  • Support the day-to-day operations of the Foundation by coordinating office supplies and materials, processing or assisting with departmental invoices, and managing other administrative activities that contribute to the efficient functioning of the department.
  • Support the overall operations of the Foundation by providing administrative assistance, coordinating departmental needs, and contributing to special projects and other initiatives as assigned, including assisting with the Wealth Screening Tool.
  • Completes additional tasks as needed
