Onboarding and Licensing Specialist

Location: Brooklyn, NY (In-Office)
Schedule: Full-Time; 9:00 am - 5:30 pm
Salary: $32 - $35 an hour

Job Summary

As an Onboarding and Licensing Specialist at MedElite, you will play a crucial role in creating a welcoming and efficient onboarding experience for new hires while ensuring compliance with regulatory standards. You will manage all aspects of the onboarding process, ensuring the timely completion of necessary paperwork, background checks, certifications, and compliance requirements. Additionally, you will review and process credentialing applications for healthcare providers in facilities, submitting credentialing packets and ensuring their approval.

Responsibilities

  • Manage provider onboarding from hire through readiness to start.
  • Collect, review, and maintain required provider documentation, credentials, licenses, and certifications.
  • Process and track provider licensing applications, renewals, and related state requirements.
  • Communicate with providers, state licensing boards, facilities, and internal teams to obtain required information and resolve outstanding items.
  • Monitor onboarding and licensing progress and follow up to ensure timely completion.
  • Maintain accurate provider information and documentation in company systems.
  • Assist with credentialing packets, collaborative/supervisory agreements, and other provider requirements as needed.
  • Identify and escalate issues that may delay a provider's start date.
  • Maintain confidentiality and ensure compliance with company policies and applicable regulatory requirements.
  • Be cross-trained in both Onboarding and Licensing and provide support to either function based on departmental needs.

Requirements

  • Minimum of 2 years of experience in onboarding, human resources, or a similar role within a medical or healthcare setting.
  • Familiarity with healthcare regulations, certifications, and compliance requirements (e.g., HIPAA, OSHA).
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite and HRIS systems.
  • Ability to handle sensitive information with confidentiality.
  • Detail-oriented and able to manage multiple tasks simultaneously.
  • Experience in medical staffing, healthcare management, or a similar environment.
  • Knowledge of employee benefits and payroll systems.
  • Familiarity with applicant tracking systems (ATS) and onboarding software.
