Title: Account Services Specialist, WholesaleĀ 

Location:Ā North Bergen, NJĀ Ā 

Schedule:Ā  M-F, Hybrid (Onsite T, W, Th); 8:00am – 5:00pm ETĀ

Primary Purpose:Ā Independently manage order book flow from order entry to shipment fulfillment to achieve business’s financial targets.Ā Ā Monitor and ensure product ships on time to our wholesale clients; proactively manage issues and communicationĀ withĀ internal and external partners.Ā Ā Flawlessly executes all tasks to ensure profitability, productivity, and efficiency for the wholesale revenue cycle.Ā Ā Maintains SOX Compliance controls as it relates to auditing, approval, and revenue protection.Ā

TheĀ Account Service SpecialistĀ serves as a key liaison between customers, Sales, Operations, Distribution, Finance, and Accounts Receivable.Ā

AccountĀ Service Activities:Ā 

Ā 

  • ProvideĀ accurateĀ andĀ timelyĀ customer service to internal and external customerĀ contacts,Ā through ownership of assigned accounts andĀ demonstratedĀ proficiencyĀ of the business model and interworking of theĀ end-to-endĀ supply chain.Ā 

  • Act as a customer advocate between warehouse and the account. Be the point of contact for ourĀ wholesaleĀ customers – either resolving issues independently or through working with business functions to ensureĀ clearĀ understanding of the ā€˜ask’.Ā 

  • Proactively and clearly communicate issuesĀ pertaining toĀ their account – both to the customer and to the relevant internal business partners.Ā 

  • Partner with Account Executives / leadership to discuss and address business issues/risk to financials, as well as resolve specific service/allocation/logistical issues to address customers’ needs.Ā

Order Management/Reporting/Analysis Activities:Ā 

Ā 

  • Review and maintain orders through the order management system (SAP) from the time of receipt to the time of shipment which includes post market activities, ownership of order status, executing order book changes based on business/customer needs and monitoring shipment flow to mitigate any risk to revenue for the month/quarter.Ā Ā 

  • Independently analyze to ensure order integrityĀ ofĀ source data, pricingĀ updates,Ā allocationsĀ and scheduled ship dates. Resolve any issues in partnership with Sales and the wholesale customer, including negotiating extensions, pricingĀ updates,Ā BalanceĀ toĀ Book and returns.Ā 

  • Ensure orders are prepared in accordanceĀ toĀ projected fillĀ rateĀ and delivery/shipping calendar and ship on time.Ā Ā Work closely withĀ warehouseĀ partners to resolve cancel date issues and routing response timeliness.Ā Ā Help minimize and prevent seepage that will negativelyĀ impactĀ theĀ SalesĀ MarginĀ Inventory for the current period/quarter.Ā Ā Ā 

  • Provide post shipment supportĀ includingĀ shipping documents,Ā OrderĀ StatusĀ Reports (OSR),Ā ProofĀ OfĀ Delivery (PODs),Ā ReturnĀ Authorization (RAs), and researching/validatingĀ shortages, overages andĀ pricingĀ claims whichĀ impactĀ wholesale customerĀ and company profitability.Ā 

  • Be a strong partner andĀ SubjectĀ MatterĀ Expert (SME) by monitoring picks for high visibility projects, productĀ linesĀ orĀ special eventsĀ by partnering withĀ WholesaleĀ Operations. Proactively communicate order status information toĀ wholesaleĀ customers and others as appropriateĀ 

  • Uphold and adhere to Sarbanes-Oxley (SOX) controls as it relates to the company’s narrative on revenue protection, approvals, auditing, and claims processing.Ā Ā 

  • Partner with Sales &Ā WholesaleĀ Operations to protect revenue by proactively reportingĀ weeklyĀ risk/liabilities.Ā Provide recommendations to the business andĀ wholesaleĀ customersĀ to ensure a win-win outcome.Ā 

  • Partner withĀ Tapestry Compliance &Ā Warehouse OpsĀ to ensureĀ wholesaleĀ customers’ compliance guides/requirementsĀ are reviewed;Ā identifyĀ and resolve any deviations toĀ customersĀ facing activities/processes.Ā Ā Ā 

  • Develop & updateĀ StandardĀ OperatingĀ Procedures; assess current business processes to identify areas of improvement.Ā 

  • Coordinate andĀ lead in continuous improvement projects that help streamline processes and gain efficiencies in meetingĀ TapestryĀ ServiceĀ LevelĀ AgreementsĀ 

  • Administrative and order management tasks to support theĀ regionalĀ businessesĀ where necessary.Ā

QualificationsĀ 

  • 3–5 years of experience in order management, customer service, sales operations, or wholesale/retail environmentĀ 

  • Strong analytical, problem-solving, and organizational skills with a high attention to detailĀ 

  • Intermediate to advancedĀ proficiencyĀ in Microsoft office, specifically ExcelĀ 

  • Excellent verbal and written communication skills with the ability to influence and build relationships across functionsĀ 

  • Ability to manage multiple priorities and work effectively both independently and within a teamĀ 

  • Demonstrated ability to proactivelyĀ identifyĀ issues and implement effective solutionsĀ 

  • Experience working with multiple systems to analyze and act on businessĀ dataĀ 

  • Strong senseĀ of accountability, ownership, and self-motivationĀ 

Preferred QualificationsĀ 

  • Experience with SAP S/4Ā HANAĀ 

  • Knowledge of credit control processesĀ 

  • LogisticsĀ and supply chain experienceĀ 

  • Bachelor’s or Associate’sĀ degreeĀ 

  • Experience with International Wholesale management/logisticsĀ
