CPM is a department within the College of Continuing Education at the University of Oklahoma. We provide public sector agencies, staff, service providers, clients and community partners training, research and consultant support for professional and programmatic development. We deliver cost-effective, customer-oriented solutions that are tailored to meet unique needs and situations.

The Energy Assistance Supervisor supports front line information support specialists and overall contract deliverables.

The Supervisor Duties Include:

  • Oversees daily office operations, including scheduling, correspondence, and record-keeping to support staff.
  • Coordinates logistics for meetings and special projects.
  • Manages departmental communications, including responding to inquiries and facilitating information flow.
  • Maintains compliance with university regulations, standards, and data privacy policies.
  • Assists in preparation of reports, proposals, and documentation required by university administration or external bodies.
  • Develop, implement, and enforce office policies, procedures, and standards to optimize workflow and ensure compliance with department and university goals.
  • Serves as a liaison between the department and other university offices.
  • Supervises, trains, and evaluates the performance of assigned staff.
  • Manages communications, including correspondence, phone calls, and inquiries.
  • Monitors and report on administrative metrics, including workflow, productivity, and resource allocation.
  • Leads special projects and process improvement initiatives as assigned.
  • Serves as primary point of contact for office-related inquiries and issues.
  • Conducts onboarding, training, coaching, mentoring of new staff.
  • Performs other duties as assigned.


Required Education and Experience: Bachelor's degree, AND:

  • 3 years of office management, administrative experience, or related field.

Equivalency/Substitution: Experience or a combination of education & related experience can be considered in lieu of degree. A one-to-one ratio is used to determine the number of years of experience required in place of a degree.

Skills:

  • Strong leadership and team management skills.
  • Excellent organizational and multitasking abilities
  • Advanced computer skills with wide knowledge of business software
  • Proficient in Microsoft Office
  • Detail oriented for accuracy of data and information
  • Exceptional written and verbal communication skills
  • High level of professionalism and discretion
  • Ability to speak, read and write clear, concise English
  • Able to communicate well and build rapport quickly with staff and customers
  • Strong analytical skills and initiative to solve problems

Departmental Preferences:

  • Working knowledge of state social service benefit programs.
  • Working knowledge of program operations, technologies, systems, and processes.
  • Advanced computer skills including Office 365.
  • Working knowledge of Contact Management Systems and Workforce Optimization systems.

Supervision:

  • Contact Center Specialist 1-5 Staff.
