PRIMARY RESPONSIBILITIES:

The primary responsibilities of the Chief Pilot/PIC are as follows:

I                      SAFETY

Responsible for the safety of the crew, passengers, general public, and the aircraft. Pursuant to Federal Air Regulations, the Chief Pilot/PIC is directly responsible for and is the final authority as to the operation of the aircraft.

 

II                   AIRCRAFT

  • Maintain all records having to do with aircraft maintenance/repairs, hour logs and safety policies and procedures.
  • Assure the aircraft is properly secured at all times
  • Assure the aircraft’s appearance, cleanliness and image are maintained to Company standards.

 

III.       IMAGE

The Chief Pilot/PIC must maintain the highest standards of personal conduct, both on and off the job, individually and for that of the flight crew. Look and act professional.

 

III                HANGAR

  • Assure that the hanger is kept clean, safe and secure at all times, and projects a positive image to our team members and the community.

IV                FLIGHT PLANNING

The Chief Pilot/PIC is responsible for flight planning and coordinating travel arrangements for the crew and passengers (airport destinations, car rental/transportation, hotels).


 

JOB FUNCTIONS & DUTIES:

SAFETY

1.         Safety, Safety, Safety – For team members, clients, and the general public at all times.

2          The Chief Pilot/PIC is to consult with the First Officer and Company Management concerning the decision to begin a flight. The decision should include such factors as crew condition, weather, aircraft condition, airport condition, and passenger condition. Other factors may be applicable.

  • Navigation charts, flight manuals and aircraft flight management system computers shall be kept up-to-date and in sound working order at all times.
  • Recurrent training must be completed on an annual basis. This will be coordinated with the appropriate Company persons having authority to approve such expenses and shall be scheduled by the Chief Pilot/PIC.
  • License and Medical Certificates - The Chief Pilot/PIC shall have an ATP multi-engine license with the appropriate type rating for the Company aircraft. A second-class medical certificate or higher is required. The Chief Pilot/PIC shall also ensure that all persons serving as First Officers (Co-Pilots) have at least a commercial multi-engine license with an instrument rating and a second class medical. The insurance carrier may have additional requirements. Any such requirements shall be complied with.
  • The Chief Pilot/PIC is responsible for applicable federal air regulations, aircraft systems and procedures, company policy, and appropriate information contained in the Airman’s Information Manual. The Chief Pilot/PIC shall also ensure that all crew members employed by the company maintain a working knowledge of their assigned duties.
  • Delegation Authority - The Chief Pilot/PIC may delegate duties and tasks as needed. They may hold the assigned crew members accountable for those assigned functions. However, the person assigned as the Pilot-in-Command may never delegate the authority and responsibility placed upon them by Federal Air Regulations and Company Policy. Under no circumstances shall the Pilot-in-Command ever allow the safety of the flight to be compromised.
  • The Chief Pilot/PIC must each remain equally qualified, informed, and prepared to perform the full duties of either position at any time. The two positions are interchangeable in their operational and administrative responsibilities. Each pilot must maintain current knowledge of flight schedules, aircraft status, maintenance requirements, staffing, vendors, expenses, and ongoing department matters so either can assume responsibility whenever needed, consistent with applicable qualifications, Company authorization, and regulatory requirements.

 


 

AIRCRAFT

  • Maintenance is to be performed as required per FARS and manufacturers programs. Monitor inspection deadlines, maintenance schedules, aircraft discrepancies, and manufacturer maintenance requirements. Schedule necessary maintenance with approved providers and communicate anticipated downtime to appropriate Company personnel. Follow maintenance work through completion, track progress, and confirm that required documentation and return-to-service approvals are in place before flight.
  • Image - Aircraft shall be always kept clean projecting a professional appearance.. This may be the first impression a potential client or team members may have of the Company.
  • .        Supplies - Supplies such as food and drinks shall be determined prior to each flight. If possible, special requests and needs of passengers will be honored. Such items should be communicated to the crew in advance.
  • Aircraft Flight Logs - Logs are to be completed for each flight. The Chief Pilot/PIC shall ensure the accuracy of the logs and that they are submitted to appropriate people as determined by Company, Management or policy.

IMAGE

  • The Chief Pilot/PIC must maintain the highest standards of professionalism and discretion, both on and off the job, individually and for that of the flight crew.

HANGAR

  • Image – The Hangar shall be kept clean projecting a professional appearance at all times.
  • Supplies – The Hangar must be maintained with adequate supplies to conduct operations.
  • Aircraft Flight Logs - Logs must be secured at the Hangar and be readily available for inspection. Updates to the Flight Logs must be submitted to the Director of Fleet and Assets upon return from each trip.

FLIGHT PLANNING

  • Coordinate travel arrangements with appropriate entities (car rental, hotel, etc.)
  • Supplies such as food and drinks shall be determined prior to each flight. If possible, special requests and needs of passengers will be honored. Such items should be communicated to the crew in advance.
  • Transfer of luggage to hotels and plane
  • Aircraft security, storage, fueling and other concerns as required
  • Flight Crew supervision and crew needs
  • Flight Planning
  • Complete expense reports and submit to the Company’s Chief Financial Officer every week.

 

  • Identify and arrange qualified contract pilots when additional coverage is needed, subject to Company approval.
  • Protect the confidentiality of passenger information, travel schedules, and Company business.

 

EXPERIENCE, EDUCATION AND SKILLS REQUIRED

  • Education – Must be flight certified for a 2026 Challenger 3500. Must maintain recurrent training.
  • Medical – First Class Medical certificate required.
  • Experience – Prior experience in a corporate flight aviation environment desired.
  • Skills – Must possess the ability to timely execute decisions with excellent judgment. Strong organizational and communication skills are required. Attention to detail is critical and personal promptness is necessary.
