The Facilities supply clerk plays a key role in supporting the daily operations of the Facilities Department by managing contractor scheduling, coordinating onsite work, and overseeing supply purchasing. This position works directly for the Senior Manager of Facilities and in close coordination with the Lead Facility Technician to ensure maintenance, repairs, and projects are efficiently planned, communicated, and executed with minimal disruption to operations. 

Essential Functions

  • Coordinate and schedule contractors, service providers, and vendors for maintenance, repairs, inspections, and special projects
  • Process purchase requests and maintain inventory of facilities supplies, tools, and consumables
  • Track and order materials, supplies, and parts to support daily operations and planned work
  • Reconcile monthly purchasing card transactions and receipts in accordance with organizational policies
  • Assist with budget tracking, cost coding, and data entry into financial systems
  • Maintain work order documentation, logs, and reports
  • Support clerical tasks including filing, scanning, document control, and departmental correspondence
  • Assist with invoice processing and verification of completed work prior to payment
  • Safely operates OSC vehicle when picking up supplies offsite
  • Maintains a valid Florida driver's license and acceptable driving record as stipulated by OSC’s insurance carrier
  • Performs other related duties as assigned.

Minimum Qualifications

  • Education: High school diploma or equivalent
  • Experience & Certifications: 2 years experience with purchasing and reconciliation

Preferred Qualifications

  • Experience scheduling contractors or coordinating facility-related work
  • Demonstrated experience with purchasing card reconciliation and financial tracking
  • Strong organizational and communication skills
  • Proficiency with Microsoft Office

Physical Demands

  • Ability to remain in a stationary position.

  • Understand and distinguish speech and other sounds (machinery, alarms, equipment).
  • Manipulates and moves components weighing up to 25 pounds, including those that may be low to the ground or above eye level.

Expected Hours of Work & Travel

  • This position is full time and primarily Monday – Friday 8am – 4:30pm
  • Travel throughout the Central Florida area will be required to pick up supplies.
  • Hours can vary based on the needs of the organization.
  • Travel throughout the Central Florida area will be required to pick up supplies and program materials.

Telecommuting

This position is required to be onsite 100% of the time.
