Position Overview

The Business Assistant I (BA I) serves as the front desk coordinator and first point of contact for patients at Comfort Dental Care & Orthodontics, a multi-specialty dental practice. In this role, the BA I ensures smooth daily front office operations while creating a welcoming, professional, and patient-centered experience.

This position combines customer service, scheduling, insurance coordination, and financial communication, helping patients understand their treatment options and feel confident moving forward with care. The BA I plays a key role in both the patient experience and the financial success of the practice.

Key Responsibilities

  • Greet and check in patients, creating a positive and professional first impression in person and over the phone

  • Manage front desk operations including scheduling, answering phones, patient check-in/check-out, and daily administrative tasks

  • Clearly explain treatment plans and assist patients in making informed financial decisions, including securing commitment for treatment

  • Verify insurance coverage and process claims accurately to maximize patient benefits and ensure proper reimbursement

  • Maintain organized patient records while strictly following HIPAA guidelines to protect patient information

  • Handle patient questions, concerns, and complaints with professionalism and a solutions-oriented approach

  • Run reports, manage office systems, and support overall front office efficiency

  • Collaborate closely with doctors, hygienists, dental assistants, and the Operations Leader to ensure seamless patient care

  • Promote a positive, team-oriented work environment and uphold company values and standards

  • Ensure every patient has an exceptional, comfortable experience from arrival to departure

  • Complete required continuing education and follow OSHA and safety protocols

  • Perform additional duties as assigned

  • Tech-savvy and comfortable with office software and systems
