ABOUT HOMEWOOD CHILDREN’S VILLAGE
Homewood Children’s Village is a nonprofit organization dedicated to improving the lives of Homewood children and reweaving the fabric of the community in which they live. Through cradle-to-career strategies, Community Schools, youth development programming, college and career preparation, family support, and community partnerships, HCV works to ensure children and families are supported, connected, and positioned for long-term success.
POSITION SUMMARY
The VillageCorps Program Coordinator is responsible for coordinating the day-to-day operations and implementation of Homewood Children’s Village’s VillageCorps program. The VillageCorps program mobilizes AmeriCorps members, interns, fellows, and volunteers to support young people and strengthen communities.
The Program Coordinator will support the day-to-day experience of VillageCorps participants, from recruitment and onboarding through service, development, and exit. This role will help ensure that participants are well supported, service sites receive consistent communication and support, and program operations are organized, compliant, and aligned with program goals.
The Program Coordinator will work closely with the Director of VillageCorps to implement the program’s vision and priorities. The Director will provide overall program oversight, while the Program Coordinator will serve as a primary point of contact for day-to-day program operations, participant support, and service site coordination.
Participant Recruitment and Selection
Support the Director with day-to-day recruitment activities and candidate communication.
Support application, interview, screening, and selection logistics.
Coordinate candidate interviews with the Director and service sites as appropriate.
Communicate with candidates regarding next steps, required documentation, and enrollment requirements.
Maintain organized recruitment records and status updates.
Participant Onboarding
Support the VillageCorps onboarding process.
Support the collection and organization of required participant documentation.
Support completion of enrollment paperwork and required systems.
Support National Service Criminal History Check procedures in accordance with AmeriCorps guidelines.
Maintain accurate participant files and follow up on missing or incomplete documentation.
Coordinate orientation logistics and participant communication.
Work with the Director during high-volume onboarding periods and complex enrollment or compliance situations.
Participant Support and Development
Serve as a primary day-to-day point of contact for VillageCorps participants.
Conduct routine participant check-ins and provide ongoing coaching and support.
Monitor participant engagement, attendance, progress, and overall experience.
Provide regular feedback and support participants in meeting program expectations.
Help implement the VillageCorps participant development and professional development framework established by the Director.
Support participants in identifying goals and accessing appropriate professional development, leadership, and learning opportunities.
Coordinate participant recognition, engagement, and leadership opportunities.
Address routine participant questions and concerns and work with the Director on complex or serious performance or conduct issues.
Coordinate participant exit processes and ensure required exit documentation is completed.
Participant Evaluation
Support the participant evaluation process using the evaluation framework established by the Director.
Provide regular feedback and coaching to participants regarding their performance, growth, and progress.
Document participant progress, strengths, areas for growth, and performance concerns.
Communicate significant evaluation trends or concerns to the Director.
Service Site Support
Serve as a primary day-to-day contact for assigned service sites.
Maintain regular communication with site supervisors and address routine questions or concerns.
Conduct routine site visits to support participants and maintain strong site relationships.
Monitor participant placement, schedules, attendance, and overall service experience.
Coordinate site supervisor communication and training logistics.
Identify site concerns and work with the Director on complex, recurring, or escalated issues.
Provide the Director with regular updates on site relationships, participant experiences, and emerging concerns.
Program Operations
Coordinate day-to-day VillageCorps program operations.
Monitor participant timekeeping, attendance, and service hours through established systems.
Follow established procedures for service, training, and other participant hours.
Coordinate routine participant meetings, trainings, and program events.
Maintain program calendars, schedules, and routine communications.
Implement established VillageCorps policies and procedures consistently.
Identify operational challenges and communicate recommendations to the Director.
Data and Documentation
Maintain accurate participant and program records in established systems, including Zoho CRM.
Collect and maintain program data according to established data collection systems and procedures.
Monitor data for completeness and accuracy and follow up on missing information.
Provide data and documentation needed for grant reporting, audits, evaluations, and program monitoring.
Participate in periodic participant file reviews and audits.
Budget and Program Planning
Provide input to the Director on anticipated participant, training, event, supply, and operational expenses.
Track routine program needs and communicate emerging budget concerns to the Director.
Support implementation of program plans and priorities established for VillageCorps.
Program Collaboration
Work closely with the Director to implement VillageCorps goals and priorities.
Provide regular updates to the Director regarding participant needs, service sites, recruitment, operations, and program challenges.
Participate in program planning and continuous improvement discussions.
Collaborate with the Director to identify opportunities to strengthen participant and service site experiences.
Cross-train with the Director on grant reporting and other critical program functions to support continuity and coverage.
Contribute to the development and improvement of program systems based on day-to-day experience and participant and site feedback.
Requirements
Education & Experience
Bachelor’s degree preferred in Education, Public Administration, Social Work, Human Services, or a related field.
Minimum of two years of relevant experience in program coordination, education, youth development, community engagement, nonprofit administration, or a related field.
Experience coordinating programs, managing multiple priorities, and maintaining accurate records and documentation.
Experience with compliance, training, coaching, mentoring, or professional development preferred. Experience serving with or working for AmeriCorps or another national service program preferred.
