General Summary

Are you detail-oriented, analytical, and skilled at making sure important information is accurate and complete? In this role, you’ll help support Oakland County’s vehicle and equipment operations by maintaining reliable fleet records, identifying and resolving discrepancies, and ensuring departments have accurate information to support day-to-day operations and decision-making.
What You’ll Do
• Maintain and audit vehicle and equipment records, including inventory, assignments, ownership, mileage, utilization, acquisitions, transfers, replacements, costs, and disposals.
• Review and reconcile fleet data across multiple systems, spreadsheets, departmental records, and supporting documentation.
• Research discrepancies, identify the source of errors, and make or coordinate necessary corrections.
• Analyze fleet information to identify trends, inconsistencies, and opportunities to improve data accuracy.
• Review financial, purchasing, and operational documentation to verify fleet-related transactions and records.
• Utilize County and department-specific software systems to maintain accurate records, complete assignments, and support reporting needs.

Minimum Qualifications
EXPERIENCE, TRAINING, KNOWLEDGE, SKILLS & ABILITIES
REQUIRED MINIMUM QUALIFICATIONS
- Must be a high school graduate or have a certificate of successful completion of the General Educational Development (GED) Test.
- Have had three (3) years of responsible full-time clerical experience.
SPECIAL REQUIREMENTS
- Required to successfully clear a national, fingerprint-based background check conducted by the Oakland County Sheriff’s Office. This check includes access to nonpublic criminal and court information, beyond convictions. Clearance must be obtained and maintained to hold unescorted access to County facilities.
ESSENTIAL JOB FUNCTIONS
Maintains, reviews, analyzes, audits, and reconciles vehicle and equipment records to ensure the accuracy, completeness, consistency, and integrity of information maintained by Vehicle Operations.
Maintains and evaluates fleet inventory information, including vehicle and equipment assignments, departmental ownership or responsibility, vehicle status, acquisition information, transfers, replacements, mileage, utilization, and other information necessary to maintain an accurate accounting of the County fleet.
Performs recurring and special fleet audits and reconciliations by comparing information contained in fleet management systems, departmental records, spreadsheets, purchasing and financial records, supporting documentation, and other available sources. Identifies discrepancies and researches information necessary to resolve or explain differences.
Analyzes fleet data and prepares reports, summaries, projections, and other information regarding vehicle inventory, utilization, mileage, age, replacement status, assignments, costs, acquisitions, disposals, departmental fleet changes, and other operational measures.
Reviews vehicle records and supporting documentation for unusual, incomplete, duplicate, inconsistent, or inaccurate information. Researches discrepancies and coordinates corrections.
Reviews attendance information from employees for accuracy and completeness and may input attendance into the Human Resources Information System (HRIS).
Orders fuel cards for new vehicles and assigns loner cards as requested. Documents and tracks all fuel card data. Deactivates cards as needed.
Processes fuel pin request. Reviews and deactivates users for fuel pin numbers and cards as needed.
Reviews and reconciles purchasing and expense card transactions. Maintains all necessary documentation and receipts.
Reviews and updates the master monthly billing report as needed.
Reviews and processes safety-boot reimbursement.
Reviews and writes necessary reports needed for Freedom of Information requests. Identifies records that are non-public and redacts necessary information. Responds to follow-up questions.
Will be required to travel and/or perform duties at all assigned job locations/buildings within Oakland County.
ADDITIONAL DUTIES & RESPONSIBILITIES
Order and maintains office and cleaning supplies.
Reviews and processes mail for Support Services.
Assists with booking travel and conference arrangements as needed.
Performs other duties as assigned.
Complies with all policies and standards.
Utilizes current countywide and/or department specific software to complete assignments.

WORKING CONDITIONS
Work is performed in a typical office environment.
May be required to travel to off campus locations in the performance of some job duties.
