Key Responsibilities
Team & Operations Management
- Manage and develop a team of ACH Operations Specialists, including daily work allocation, performance coaching, and professional development
- Own staffing adequacy and capacity planning; monitor production hours against transaction volumes and escalate staffing needs with supporting data
- Establish and maintain standard operating procedures for all ACH processing functions, ensuring documentation remains current with Nacha rule changes and internal policy updates
- Coordinate cross-training to maintain operational continuity during absences, volume surges, and staff transitions — eliminating single points of failure
- Drive team accountability against intraday processing deadlines and regulatory return windows
ACH Processing & Exception Management
- Oversee the daily monitoring and processing of inbound and outbound ACH files, ensuring erroneous activity or system failures are identified and communicated immediately
- Direct the processing of ACH manual returns, stop payments, rejected entries, and non-post items within Nacha-prescribed timelines (e.g., 2 banking days for unauthorized return entries under Nacha Operating Rules)
- Manage ACH reclamation processing and ensure compliance with federal reclamation requirements
- Supervise ACH origination and service setup, modifications, and deletions for the operations department
- Maintain and validate daily ACH outgoing files for accuracy, review, and record retention
- Prepare and review daily ACH reports for management review and approval
Instant Payments & Emerging Rails
- Oversee the processing and exception handling for real-time payment transactions across FedNow and RTP networks, including timeout errors, duplicate detection, return requests, and RFI messages
- Monitor instant payment exception trends and adjust staffing and procedures as volume grows with client adoption of real-time payment rails
- Partner with product, technology, and compliance teams on instant payment enhancements and new rail integrations
Deposit Operations Support
- Provide oversight and direct support for deposit research and adjustment entries to correct processing errors
- Reconcile DDA and General Ledger variances by researching and resolving out-of-balance issues
- Assist with IntraFi transaction processing upon request from middle office operations
- Monitor GNI accounts for collateral adequacy; manage new, increasing, and decreasing collateral positions with FHLB upon front office direction
- Provide coverage and support for money fund purchases, redemptions, and FDIC-insured deposit solutions, including transaction processing, provider reconciliation, and client service as needed
Process Improvement & Automation
- Identify, evaluate, and implement automation opportunities to reduce manual touch points and per-item processing time
- Track efficiency gains from automation initiatives and report measurable outcomes to management (e.g., exception volume reduction, hours recovered)
- Partner with technology teams on system enhancements, workflow tools, and reporting capabilities that improve ACH processing accuracy and throughput
Stakeholder & Partner Management
- Build and maintain strong working relationships with internal business partners, compliance, risk, technology, and front office teams
- Serve as the primary operational point of contact for external financial institutions on ACH-related inquiries, ensuring timely and professional response within departmental and Nacha-mandated deadlines
- Manage Salesforce case volume related to ACH operations, ensuring timely resolution and consistent client and partner communication
- Coordinate with sub-custodians and money market mutual fund providers on trade settlement activity when supporting broader deposit operations functions
Compliance & Risk
- Ensure all ACH processing activities comply with Nacha Operating Rules, Federal Reserve Regulation E, UCC Article 4A, and internal bank policies
- Monitor for regulatory changes affecting ACH and instant payment operations; assess impact and update procedures accordingly
- Support internal and external audit and examination requests with accurate documentation, data, and process narratives
- Maintain awareness of OFAC screening requirements applicable to ACH transactions and coordinate with BSA/AML compliance as required
Required Qualifications
- 7–10 years of progressive banking operations experience with a primary focus on ACH processing and deposit operations
- 2+ years of direct team leadership or supervisory experience in a payments or deposit operations environment
- Strong working knowledge of Nacha Operating Rules and Federal Reserve ACH regulatory framework (Regulation E, Regulation CC)
- Demonstrated experience managing high-volume, deadline-driven transaction processing with strict intraday cutoff requirements
- Proven ability to analyze workload data, identify capacity constraints, and make data-supported staffing and process recommendations
- Proficiency with Fiserv core banking products (or comparable core platforms) and Cash Management software
- Advanced proficiency in Microsoft Excel, Outlook, and the broader Microsoft 365 suite for reporting, analysis, and communication
- Strong written and oral communication skills with the ability to interact professionally with internal partners and external financial institutions
Preferred Qualifications
- Experience with real-time payment rails (FedNow, RTP) including exception handling and settlement processes
- Familiarity with IntraFi deposit network products and FHLB collateral management
- Knowledge of trade settlement processing, sub-custodian operations, and money market fund transaction workflows
- AAP (Accredited ACH Professional) or APRP (Accredited Payments Risk Professional) certification from Nacha
- Experience implementing process automation or workflow optimization initiatives within a payments operations environment
- Familiarity with Salesforce or comparable case management platforms for operational support tracking
