The Administrative Assisant provides administrative support to one or more executives (President, COO, CFO, CNE, CNO or VP) in order to facilitate Facility/System functions/operations. Must (a) function with minimal direction, discretion (confidentiality); (b) demonstrate independent judgment; (c) possess excellent organizational skills; and (d) have exceptional verbal/written communication skills. Completes established competencies for the position within designated introductory period. Performs other related duties as assigned.
Responsibilities
General Functions:Â
- Organizes daily activities to eliminate unnecessary disruption of executives’ workday and to facilitate smooth office operations/activitiesÂ
- Acts as a liaison between executives and other staff members, vendors, physicians, patients and patients’ family membersÂ
- Communicates effectively, verbally and in writing, with all levels of staff, physicians, patients, and patients’ family membersÂ
- Maintains accurate appointment/meeting calendarÂ
- Coordinates, organizes and plans events (meetings, retreats) including travel, lodging and activitiesÂ
- Performs basic information gathering and analysis and/or forecasting as directedÂ
- Assists in developing, preparing/editing correspondence (i.e., memos, letters); and/or reportsÂ
- Assists in developing and/or updating departmental policies, procedures, job descriptions, etc.Â
- Screens telephone calls and appropriately handles calls regarding patient, family and/or physician concerns; greets visitors in a friendly and timely fashionÂ
- Maintains an orderly, up-to-date filing system and is able to readily retrieve documentsÂ
- Assists other Executives during the absence of their administrative support personÂ
- Performs general office duties such as handling incoming/outgoing correspondence, prioritizing in order of urgency/importance to facilitate processing; order supplies, publications; subscription renewals, etc.Â
- Utilizes resources efficiently and effectivelyÂ
- Maintains safe environmentÂ
- Participates in Performance Improvement activities
Qualifications
MINIMUM EDUCATION: High School Graduate or equivalent
PREFERRED EDUCATION: Associates Degree
MINIMUM EXPERIENCE: 7 years as an administrative secretary in a professional business setting
PREFERRED EXPERIENCE: Experience in healthcare environment
