  • Client Focused: We only succeed when our clients succeed.

  • Outstanding: We deliver meticulous results through outstanding performance.

We currently have a role available for a Scientific Coordinator.

Job duties include, but are not limited to, the following:

  • Provide direct support to scientific communications for research leadership and cross-functional partners:

    • Translate complex scientific data, program updates, and research milestones into clear, accessible content for non-specialist and executive audiences.

    • Draft, edit, and refine executive briefings, leadership updates, newsletters, and internal announcements, ensuring scientific accuracy and a consistent voice.

    • Coordinate and develop town hall and all-hands content, including slide decks, speaker notes, and run-of-show materials, in partnership with scientific leaders.

    • Gather and synthesize inputs from scientists and program leads across sites, managing review cycles and deadlines through final approval.

  • Provide direct and indirect support to day-to-day scientific operations:

    • Coordinate recurring leadership, program, and cross-site meetings, including scheduling, agendas, pre-reads, minutes, and follow-up.

    • Track action items, decisions, and milestones across multiple workstreams, escalating risks and delays to leadership as needed.

    • Actively maintain operational trackers and dashboards (e.g., Smartsheet, Excel, Power BI) to provide leadership with visibility into project status and priorities.

    • Partner with procurement, finance, and vendor management teams to support purchase requests, requisitions/PO’s, invoice tracking, and vendor follow-up to keep projects on schedule.

    • Maintain organized shared repositories (e.g., SharePoint, Teams) for communications materials, meeting records, and program documentation.

  • Assisting with collaborative process improvement efforts to streamline communications and operational workflows.

  • Other duties as defined by manager, department needs and workload.

Job requirements include, but are not limited to, the following:

  • Bachelor’s degree in a life sciences or related discipline (e.g., Biology, Chemistry, Biochemistry etc.) is required.

  • 3-5 years of professional experience in a scientific communications, coordination, or operations role in the Biotech and Pharmaceutical industry is required.

  • Exceptional written and verbal communication skills, with demonstrated ability to explain scientific concepts to non-scientific and executive audiences, is required.

  • Meticulous attention to detail and strong organizational skills, with proven ability to manage multiple workstreams and trackers at once.

  • Previous experience supporting discovery or preclinical research teams, drafting executive communications or town hall content, and partnering with procurement, finance, or vendor teams is preferred.

  • Experience coordinating across multiple sites or within a large, matrixed organization is preferred.

  • Enthusiastic, adaptable, self-motivated and relationship-oriented, with the ability to prioritize competing demands and meet deadlines in a fast-paced environment.
