We are currently seeking a person who identifies strongly with our mission and core values to join our team as an Administrative Assistant for our Employee and Community Services department.  Purpose:  Provide administrative and other supports to all ECS Department programs including Accessibility, Braille, DeafBlind Program (DBP), Orientation and Mobility (O&M),  Supported Employment (SEP);Career Development (CDP). Provide supplemental administrative support to the Low Vision Clinic, and Low Vision store and Independent Living Program (ILP). Responsibilities: • Serve as central point of contact for ECS Department.   • Maintain multiple databases. Examples of tasks include creating and updating records, running reports, upload documents and ensure accuracy of data entry. • Prepare and proofread as needed: reports for ECS Department Manager, departmental reports, certification, documentation, audits and surveys, including supporting accreditation process • Manage travel arrangements such as book airfare, hotel and car rental as needed for staff members. • Maintain clear system for supply and equipment orders, purchases and delivery related to ECS  Department needs. Maintain a stock of supplies such as copy paper, toner, and general office supplies. • Maintain department and company calendars as relevant, including schedule of ongoing meetings, appointments, use of ECS or Lighthouse vans, events, room reservations, and program deadlines. • Support ECS and Lighthouse trainings by coordinating set up and clean up of meeting space.   • Register staff members for trainings, workshops, meetings and conferences. • Make pre-approved purchases using company cards. • Provide general support to staff for daily needs such as laminating, making braille requests, and information requests.  • Take and distribute notes from meetings and trainings.   • Coordinate with other Lighthouse Administration staff as needed. • Support DeafBlind Retreat planning as needed. • Attend program and organizational events as required, such as DeafBlind Retreat, Lighthouse Luncheon, and other fundraising events. • Maintain strict confidentiality standards at all times in keeping with Dept policies and best practices • Manage the maintenance and upkeep of all vehicles assigned to ECS  • Provide support to ILP, Low Vision Services and store as needed • Performs other duties as assigned.  Knowledge, Skills, and Abilities: Comprehensive knowledge of MS Office, including Word, Excel, Outlook, PowerPoint, and database Knowledge of general office equipment such as copy/print/scanner; Mature judgment and sensitivity in interpersonal relations and among diverse groups Strong customer service orientation Kind, courteous, and professional demeanor at all times Minimum Requirements:  • AA/BA degree preferred • Administrative assistant experience preferred  • Ability to work some evening and weekend work occasionally with advance notice (supporting events and annual SeaBeck DB Retreat) • Ability to work schedule as assigned.  Company benefits may include: 12 Paid Holidays per year Up to 17 days of Paid Time Off (PTO) per year Medical, Dental, and vision plans Long-term and short-term disability, AD&D Life Insurance 403(b) Retirement Plan with 6% employer match Tuition Reimbursement Employee Assistance Program (EAP) Team Member Referral Bonus Program Paid Leave for Service Animal Training Focus on Upward Mobility Inclusive and Supportive Team Environment   Please note: Under the AbilityOne Program, The Lighthouse for the Blind, Inc. gives hiring preference to individuals who are legally blind.
